An exciting opportunity has arisen for an experienced Administrator/Assistant coordinator to work alongside the Director of Estates & Facilities at the University of Wolverhampton. You will be responsible for the management of internal meeting schedules, supporting staff meeting and associated administration of theses and any project boards, and day to day administration requirements on behalf of the Director. 

Business Administration Co-ordinator Responsibilities:

  • Manage proactive administrative functions and support for the Director of Estates and Facilities, and the wider Directorate. This may include project work, comprehensive and confidential administrative support, accessing key confidential information, or supporting others in bringing such information together.
  • Gather required information/data to support and assist in the provision and production of required reports/documentation
  • Deliver high quality professional and proactive expertise against standards and targets driven by Estates and Facilities operational and strategic plans and the SLA we look to deliver to our customers. 
  • Where appropriate organisation of meetings and associated invites as requested, ensure timely distribution of information in advance of the meetings, taking of accurate minutes and the distribution of these for review and information well in advance of the next meeting.
  • Responsible for the management of information associated to senior management team data, absence/holiday/change of information, manage any travel arrangements and expenses claims. Booking for conferences, courses and associations memberships.
  • Contribute to the design, content and editing of Directorate webpages and ensure quality, accuracy, and consistency of these
  • Manage financial processes and systems, associated to expenses claims, use of credit cards and their reconciliation, with regular reporting in place.
  • To be an accurate source of information Directorate procedures and deadlines and to direct enquiries to specialist services as they require. 

Business Administration Co-ordinator Requirements:

  • A level or equivalent qualifications.
  • Exceptional organisational and administrative skills and exceptional written and verbal communication and interpersonal skills.
  • Experience of managing and planning own workload with limited supervision
  • IT skills and be proficient in the use of word, excel, database, visio and other Microsoft packages
  • High level of accuracy with a meticulous approach to detail.
