Job summary

The Registry Assessment Records Team is responsible for key elements of the academic lifecycle related to the assessment, progression and award of all students, including management of milestones and examination entry for research degree students. The team is also responsible for the publication of results to students and service delivery of degree award documents, including final degree certificates.

We are seeking an Assessment Records Officer to support local and central records processes relating to the assessment of taught and research degree students at the College, with a vital role in updating and maintaining accurate assessment record information on the College’s central student information system.

The post-holder will liaise with a wide pool of stakeholders, including students, academic and professional services staff and will act as a key point of contact and support for matters relating to assessment records and operational implementation of College regulations, policies and procedures. 

The College is currently developing a Hybrid Working Policy framework to shape the future of how we work at Imperial. Assessment Records staff are currently performing their role through a combination of working at our South Kensington campus and remote working (UK only), with a 40% minimum onsite requirement (1 – 2 days per working week); these arrangements are subject to change in line with operational needs.


Duties and responsibilities

  • Update and maintain data relating to taught and research student assessment, progression and award on the College’s information management system.

  • Maintenance of research degree milestone, examination and award information, and monitoring progress throughout the viva examination period.

  • Assist and support service delivery of degree award document production and dispatch.

  • Assist with queries relating to award documentation and advise on replacement certificate processes.

  • Provide a responsive, effective customer service and communicate appropriately with stakeholders via all mediums, including email, telephone and face to face.

  • Work proactively and collaboratively with team members to maintain high level of accuracy and the integrity of student data during peak periods of activity.

  • Build effective and collaborative working relationships with colleagues within Registry and across the College, in particular with Student Hub colleagues.


Essential requirements

  • Proven experience at a similar level

  • Experience of providing a responsive, customer-focussed service on the telephone, via electronic medium and face to face.

  • Experience of working with large volumes of data, using databases and systems to store and retrieve information.

  • Professionally and personally committed to complete tasks successfully and produce excellent results at work (or in other activities).

  • Proven experience as a cooperative team member who can also work independently

  • Broad experience, acquired through a combination of job-related training and considerable on-the-job experience, demonstrating development through involvement in a series of progressively more demanding relevant work/roles.

  • Familiarity with records keeping processes

The College is currently trialling a Work Location Framework until early 2023.  Hybrid working may be considered for this role and the role holder may be expected to work 60% or more of their time onsite, with 40% the minimum time spent onsite.  The opportunity for hybrid working will be discussed at interview.
