ARC Stores Manager

Job Purpose 

The post holder will manage all aspects of the Advanced Research Centre (ARC) Store, including but not limited to, ordering, goods received, lab consumables service, gas cylinder stock and specialist laboratory waste management. The post holder will be the main point of contact in the provision of a safe, and efficient specialist waste management service within the ARC, responsible for the management of specialist laboratory waste and other materials in line with the University’s sustainability and waste management policies.

Main Duties and Responsibilities 

1. Lead in the provision of an efficient stores service within the ARC, maintaining the highest customer service standards, providing advice and clear guidance to researchers, filtering issues and seeking resolutions.

2. Responsible for health and safety across all stores, ensuring compliance to relevant health and safety standards, writing COSHH forms and risk assessments for both the stores team and customers.

3. Ordering of goods and services, managing the receipt of goods and working closely with financial colleagues across colleges/institutes/schools. Offer advice on purchasing policy/procurement to building users and where appropriate liaise with suppliers and procurement.

4. Manage specialist ARC laboratory waste and ensure safe disposal of chemicals, clinical waste, WEEE, batteries and any other material identified by University policies ensuring compliance with University sustainability and waste management policies and disposal legislation. Maintain records of all waste transit notes, uplifts and SEPA records for the appropriate length of time. Advise all members of the ARC on University waste reduction policy.

5. Manage solvent and chemical storage areas ensuring safety of staff/students, ensure stock limits are adhered to and relevant safety legislative requirements (e.g., Fire Safety) are met.

6. Manage the ARC gas cylinder store and be responsible for ordering, delivery and return of cylinders. Train users in compressed gas safety.

7. Develop and implement new systems to improve efficiency and service standards.

8. Budget forecasting and service recharging for stores services.

9. Development of stores staff including identifying training requirements.

10. Identify and participate in continuing professional development.

Knowledge, Qualifications, Skills and Experience 

Knowledge/Qualifications  

Essential: 

A1 Either: the ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role OR: Scottish Credit and Qualification Framework level 7 (Advanced Higher/Scottish Vocational Qualification level 3 Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2 Extensive knowledge of Purchasing software.

A3 Extensive knowledge of procurement policy.

A4 In depth H&S knowledge relating to chemical storage, spills and disposal.

A5 Extensive manual handling and risk assessment awareness.

Desirable: 

B1 Accredited waste training.

B2 Knowledge of legislation relevant to transport of dangerous goods.

B3 Pallet stacker operator license.

Skills 

Essential: 

C1 Excellent customer care skills/client relationship management skills.

C2 Excellent written and verbal communication skills.

C3 Excellent numeracy/literacy.

C4 Excellent IT skills including Microsoft Office.

C5 Excellent attention to detail and accuracy with financial information.

C7 Excellent organisational skills.

C8 Proven ability to use own initiative & judgement to resolve issues independently.

C9 Ability to negotiate with suppliers/reps on behalf of the ARC.

C10 Ability to motivate staff and manage performance.

C11 Appropriate Health & Safety skills relevant to the role.

C12 Work independently to meet deadlines with ability to work as part of a multi-disciplinary team.

C13 Ability to troubleshoot to resolve complex logistical problems.

Desirable: 

D1 Ability to analyse ordering trends to maintain adequate stock levels.

D2 Able to prioritise workload, forward plan in relation to stock control and a fluid customer base.

Experience 

Essential: 

E1 Proven experience of working in or supervising a stores or warehouse environment.

E2 Experience of Health & Safety, risk assessment and COSHH legislation.

E3 Experience of on-line ordering systems.

E4 Experience of stock control systems.

E5 Experience of, and ability to, understand and interpret operational and service requirements.

Desirable: 

F1 Supervision of staff.

Terms and Conditions 

Salary will be Grade 5, £25,138 - £29,605 per annum.

This post is full time (35 hours p/w) and open ended. Typically, Monday to Friday but some flexibility will be required.
