The Infastructure Quality & Project Coordinator will:

  • Act as central point of coordination for quality and performance monitoring of fire safety risk and infrastructure works across the directorate.
  • Monitor / coordinate compliance works from actions arising from fire risk assessments.
  • Monitor / coordinate compliance related projects as instructed by the Fire Safety Manager / Head of Infrastructure & Fire Safety.

This post will be offered on a full-time, indefinite contract.


  • Review fire risk assessment findings and coordinate project management of actions arising, providing clarity on priorities to effectively manage risks identified, and ensuring continuous improvement and compliance.
  • Provide visibility of outstanding fire risk works across the directorate, deriving insight from the data to aid senior leadership decision making process.
  • Support implementation and performance monitoring of agreed 'Gateways' around project works.
  • Communicate and co-ordinate fire and infrastructure project work with all relevant stakeholders, ensuring business continuity and student experience is not compromised.
  • Maintain knowledge in current and evolving legislation regarding fire safety assets / materials / systems, providing proactive advice to the directorate in opportunities to improve protection of the estate.
  • Assign appropriate responsibilities to 3rd party providers and ensure the required demonstrable competencies are in place to perform works so that E&F interests are protected.
  • Evaluate proposals for works from 3rd party providers and provide justification and assurance with regards to statutory compliance.
  • Record and distribute changes to portfolio design / arrangements to relevant parties ensuring all records and plans remain current and fit for purpose following works.
  • Support the Fire Safety Manager / Head of Infrastructure & Fire Safety with technical, strategic, and financial reports in connection with fire safety project works with findings expected to be delivered at high level meetings with senior managers/director’s present.
  • Monitor legislation and codes of practice for relevance to E&F practices and fire safety to support the Fire Safety Manager / Head of Infrastructure & Fire Safety in making recommendations to the senior leadership on how to best respond to the evolving legal and policy requirements impacting the directorate.
  • Provide executive support to the Head of Infrastructure and Fire Safety.
  • Provide team support by monitoring, triaging, and tracking fire safety/infrastructure requests from the directorate.
  • Provide contract coordination for third party fire safety / infrastructure suppliers. 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

Essential criteria

1.       Experience of project coordination within large complex organisations with sound judgement, decision making and organisational skills.

2.       Strong background of working on similar fire protection projects, or equivalent combination of education and experience.

3.       Experience of leading contract administration of projects, with proven contract knowledge and experience of procurement.

4.       Ability to work autonomously, prioritising tasks effectively to meet deadlines (both internal and external) and communicating progress regularly.

5.       Excellent interpersonal, problem solving and communication skills, with the ability to work in a collaborative and diplomatic manner.

6.       Able to build trust and rapport across E&F, collaborating effectively with H&SS to meet internally (policy) and externally (legislation) driven requirements.

7.       Be able to analyse and summarise significant amounts of data from a range of sources, developing options in remedying fire related risks.

8.       Ability to communicate effectively both verbally and in writing in a manner which is clear, fluent, and persuasive, to gain support for initiatives and to enable solution implementation.

9.      Show resilience, stamina, and reliability under sustained pressure, never losing sight of objectives.

Desirable criteria 

1.       Experience of planning and implementing long term continuous improvement programmes, ideally relating to a research-focused higher education estate portfolio.

2.       Track record of maintaining continuous learning through CPD and membership of a relevant professional body.

3.       Working towards achieving chartered status.
