The Alumni Relation's team is recruiting for an Alumni Event Assistant (International & Volunteering). In this roles you will support the work of the Alumni Relations team by assisting with the delivery of in-person and digital key engagement activities including events, international alumni engagement, and volunteering and mentoring programmes. You will also be the first point of contact for alumni and will engage in email and phone interactions daily.

The Alumni Assistant (International & Volunteering) is responsible for supporting the delivery of mass international alumni engagement including online and in person events and activities and supports all engagement with international alumni approaching and following events. They are line-managed by the International Alumni Manager, and report to the Alumni Volunteer Manager specifically to provide support for the expansion of King’s Connect (our online alumni platform) and the alumni volunteering programme. They support all requests for alumni speakers for Careers & Employability events, directly supporting student events programming. They aid the International Alumni Coordinator in processing requests from International Marketing for alumni volunteers to support global student recruitment activities. The role also supports with managing relationships with our global network of alumni volunteers. The Alumni Assistant will also work with the Project Manager to maintain the internal processes for faculties and functions to engage alumni via the Alumni Office. This role manages the volunteering and mentoring email accounts and ensures timely response to incoming emails from alumni. Key responsibilities

Alumni Assistant (International & Volunteering)

  • Support mass international engagement and events (virtual and in-person)
  • Support with managing relationships with our global network of alumni volunteers
  • Provide excellent support to the expansion of King’s Connect (our online alumni platform) and the alumni volunteering programme
  • Aid the International Alumni Coordinator in processing requests from International Marketing for alumni volunteers to support with global student recruitment activities
  • Ensure timely response to incoming emails and correspondence
  • Prioritise daily workload and assist with the management of workload across the Alumni Relations team
  • Support the Project Manager to maintain the internal processes for faculties and functions to engage alumni via the Alumni Office
  • Support on all requests for alumni speakers for Careers & Employability events, directly supporting student events programming
  • Create events checklists and oversee maintenance of events resources in collaboration with the Alumni Events Assistant (UK & Reunions)
  • Liaise with external suppliers for the coordination of mailings and printing of invitations and collateral
  • Uphold and role model an excellent customer service level
  • Occasionally provide basic cover for other colleagues within the Alumni Relations team
  • Uphold and promote the department’s Core Values and Culture
  • Attend training courses and workshops as part of personal and professional development
  • Communicate in person, by telephone and email with alumni, current students, academic staff as well as colleagues across the department
  • Support the International Alumni Manager, Senior International Alumni Manger, International Alumni Coordinator, Alumni Volunteer Manager, and Project Manager as required

Skills, knowledge, and experience

Essential criteria 

  • Previous event or administrative experience 
  • Excellent written and verbal communication skills
  • Excellent organisational skills and attention to detail
  • Proficient in Microsoft Word, Outlook, Excel 
  • Experience in customer experience  
  • Ability to prioritise and manage a demanding workload and work on several different projects at once 
  • Team player attitude with a willingness to step in to support others where needed 
  • Experience in customer service
  • Ability to use initiative and make quick decisions under pressure 
  • Creativity in problem solving and thinking of innovative solutions 
  • An interest in working in higher education 
  • Flexible approach and willingness to attend some commitments outside of regular hours
  • Desirable criteria 

  • Educated to degree level or equivalent experience.
  • Familiarity with Mailchimp or similar email platform
  • Knowledge of best practice in volunteer management
  • Experience of drafting correspondence
  • All F&SD appointments involve a standard skills-based interview, followed (for up to two appointable candidates) by a Core Values interview.

    Fundraising and Supporter Development (F&SD) is an integrated department that provides a single fundraising and supporter engagement function in support of King’s College London, Guy’s and St Thomas’ NHS Foundation Trust and for King’s Health Partners.
