This is an excellent opportunity to join the newly formed WBS Global Alumni Engagement and contribute to the achievement of our strategic objectives.
The post holder/s will work with the Director of Global Alumni Engagement and Alumni Engagement Relationships Manager(s) to implement and support a coordinated strategy, involving building relationships with a wide range of organisations and individuals to ensure that WBS maximises its opportunities in the external environment.
Excellent communication and organisational skills will be needed along with the drive and flexibility to implement our Global Alumni Engagement strategy whilst juggling the needs of multiple internal and external stakeholders.
The role will necessitate local, national and possibly some occasional overseas travel and flexibility in hours will be required for some evening and weekend work.
Job Description
Job purpose
To work with the Director of Global Alumni Engagement and Alumni Engagement Manager to implement and support a coordinated strategy, involving building relationships with a wide range of organisations, and individuals to ensure that WBS maximises its opportunities in the external environment. The Alumni Engagement Officer will support either sector or geographically based alumni relationships to deliver the strategic goals of WBS.
Duties and Responsibilities
Manager, to support alumni engagement activities through organising events, and trips, via virtual conference, telephone and email correspondence, and help manage engagement activities both on and off campus. This will include:
• Updating Alumni Engagement activity plans, preparing alumni profiles to aid new Alumni Engagement activity and maintenance of appropriate CRM records for alumni to track activity and engagement.
• Supporting the implementation of the GAE strategy, including building relationships with alumni, volunteers, prospective mentors, companies, recruiters and recruitment consultancies, prospective corporate and academic partners, to ensure cross-fertilisation to other departments in WBS in order to maximises its prospects and opportunities for external relations
• Progressing actions arising from contacts, ensuring follow up in a sensitive, timely and effective manner.
• Being the first point of contact for alumni, and other departments within WBS and the university, as well as management of the alumni@ email box, ensuring a professional service at all times.
• Operational management of CRM and associated careers portals to ensure all alumni and stakeholder information is up to date, relevant and comprehensive, adheres to GDPR and is available for external rankings and reporting as necessary.
• Supporting an alumni-focused portfolio, either nationally or globally, and assist with managing the activities of the WBS Global Alumni Regional and/ or Professional Networks in association with the appropriate network volunteer committee, and Linked In Forums under appropriate levels of supervision.
• Working with relevant stakeholders at WBS including Coordinators and the Shard team to manage events at WBS or other locations, including promotion of these via appropriate WBS social media channels, ensuring that all related financial administration (purchase requisitions, invoice payments, travel and venue bookings) is approved, recorded and processed in a timely manner to monitor budget spend.
• Preparing presentations/ briefing materials on specific alumni, networks or regions as required.
• Developing, in association with WBS marketing and other relevant teams, appropriate marketing and communications materials and digital solutions to promote WBS alumni activity to all relevant stakeholders.
• Liaising with relevant University teams, WBS and Warwick Professional Networks and Global Alumni Networks in order to share information, plan and implement joint activities to manage the university’s alumni relationships to best effect.
• Using feedback tools and mechanisms to capture and continually collate feedback on the quality and processes of GAE team activities and events, and record and report on comparable metrics year on year, ensuring that all required metrics are measured.
To undertake any other duties within the scope of the role and its grade as directed by their Line Manager.
