Academic Support Officer - Academic Administration - CoA&S

The Academic Officer is responsible to contribute to the success of College and its community of learners by providing daily academic support for the Faculty as well as support to the Dean in the process of strategic educational planning while providing exceptional service consistently to all stakeholder groups.

  • Assist in administering the program functions and activities by preparing accreditation documents for students use
  • Assist in the arrangements of the annual admissions process, including collation application materials, drafting correspondence, filing and collecting data 
  • Analyze and follow up on attendance records and issue warning and exam barring letters to respective students promptly, when required 
  • Collect and compile course portfolio for all courses offered by the College of Engineering
  • Monitor and enable appropriate access to faculty and students, to information such as course syllabus and course portfolios as well as maintain historical information
  • Organize and plan events to strengthen and develop the existing network of faculty, staff, students and community organizations engaged in university-community partnerships
  • Collaborate with the Academic Performance Committee in obtaining essential feedback/information from relevant personnel and assembling case summaries of petitioning students and ensure to communicate final decisions to students and follow up as required 
  • Liaise with other departments to keep track and update student status and guide them through the graduation process
  • Provide administrative support and plan internal affairs activities such as collecting and scanning forms, petitions, and developing progress reports
  • Contribute to the development and maintenance of the College Web-Site, and updating all required information on the website, alongside the Communications Department
  • Handle and assist in the distribution of thesis manual and related documents across students, faculty and Library
  • Assist in the teaching and course evaluation process by developing and compiling required information, entering and analyzing statistical data and developing reports as required by the Dean
  • Handle requests and inquiries from faculty, staff, students, outside agencies, and community regarding academic or operational programs
  • Assist in the process of developing and editing the Student Academic Handbook
  • Keep and maintain an efficient and confidential  record-keeping and filing systems of hard and soft copies of student records and former graduates on their work progression and achievement in workplace and serve as the lead for student survey and program orientation
  • Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly
  • Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed
  • Perform any other tasks assigned by the Line Manager

Qualifications

  • A Bachelor’s Degree in related field

Expats: 

  • A minimum 5 years of relevant experience.

UAE Nationals: 

  • A minimum of 0-1 year of relevant experience
