The Swiss Data Science Center  (SDSC) is a joint venture between EPFL and ETH Zurich. Its mission is to accelerate the adoption of data science and machine learning techniques within the ETH Domain academic disciplines, the Swiss academic community at large, and the industrial sector. In particular, it addresses the gap between those who create data, those who develop data analytics and systems, and those who could potentially extract value from it. The centre comprises a multi-disciplinary team of data and computer scientists, and experts in select domains with offices in Zürich, Lausanne, and Villigen.

For our offices in Zurich, we are looking for an all-round and enthusiastic Office Manager (40%).


Job description

As an Office Manager, you will overlook the office space infrastructure/desk allocation/visitor access. You will be responsible for accreditations, access badges and distribution lists. Furthermore, you will manage office meeting rooms, the organization of onsite meetings and events. In this position, you will be in charge of the IT Equipment inventory & order of IT infrastructures (hardware). Additionally, you will order and inventory office and staff facilities supplies and organize small office events. Making travel arrangements and hotel bookings for visitors (internal/external) will be another duty of this position. Moreover, you will organize trips to conferences and monitor generic email inbox. Furthermore, you will keep the intranet page of the Administration Team up to date and support website maintenance (staff section). You will pay invoices and approve staff expenses. In addition, you will ensure the compliance with the ETHZ financial rules.


Your profile
  • You have several years of relevant/similar work experience in administration, preferrably in University environments
  • Your past experience shows that you strive in a fast paced environment, that you are pro-active and flexible, that you are willing and able to work independently, that you are good with both people and numbers
  • Strong planning and organizational skills and an efficient working style are a must
  • You have a high proficiency in both German and English (writing and speaking)
  • You have excellent communication skills and are able to work in a group with members from diverse, international, and interdisciplinary backgrounds
  • You need to be open to addressing new administrative tasks which may go beyond the ones listed in list above
