Senior Executive, Student Administration

The School of Humanities Undergraduate Education Team provides administrative support for the full spectrum of undergraduate education matters for the School. The Senior Executive will be one of the key members to support all areas of administration pertaining to the running of the undergraduate programme, with the objective to ensure a smooth operation and timely delivery of information and services to faculty, staff and students.

Responsibilities

Work closely with Programme Coordinators and Programme Managers to support programme-related matters. Responsiblities include but are not limited to:

Undergraduate matters

Admissions

  • Assist admissions coordinator to process applications.
  • Schedule and provide logistic support for admissions test and interviews.

Curriculum and timetabling

  • Assist curriculum coordinator to consolidate list of course offerings and plan class timetable.

Course Registration

  • Assist and advise students on course registration and process appeals.

​Student Exchange

  • Assist exchange coordinator to process course matching requests for inbound and outbound students.

Examination

  • Check and format exam papers.
  • Coordinate and provide logistic support for decentralized and quarantine exam.
  • Assist in exam marks printing.
  • Provide administrative support for marks moderation meeting.

Hiring of Part-time lecturers

  • Assist in paperwork for appointment of part-time lecturers.
  • Assist to update budget projection for hiring of part-time teaching staff.

Student Feedback in Teaching

  • Collate input from faculty and update data into the system in preparation for student feedback in teaching.

Final Year Project (FYP)

  • Provide administrative support to the FYP Coordinator.

Website and Publicity

  • Assist in updating of programme website.

Programme Support

  • Provide general administrative support to faculty.
  • Provide logistic support for department meetings and write minutes.

Requirements

  • Polytechnic diploma in any discipline with at least 3 years of relevant experience in a higher educational institution or management of professional education programme will be an advantage.  Entry level candidates are welcomed to apply.
  • Proficient in MS Office.
  • Proficient in Online communication software such as Microsoft Teams and Zoom.
  • Good interpersonal and communication skills with a strong command of written and spoken English.
  • Possess exceptional administrative and organizational skills, and able to work under pressure.
  • Strong organisational and time-management skills.
  • Good problem solving and negotiation skills.
  • Highly motivated and a self-starter.
  • Meticulous and resourceful.
  • A strong collaborator – ability to work well within the team and with key stakeholders.
  • Be highly adaptable to changes
