This role will support the administrative, events and logistic support for the smooth operations of all career education programmes that will equip and prepare SIT students for Integrated Work Study Programme (IWSP) and their careers.

Reporting to the Senior Manager, Operations team, in the Centre for Career Readiness (CCR), you will support two core areas.

 

  • Programme Administration
  • Provide administrative support to the Career Coaches in CCR on:

     

  • Student Work Attachment (Integrated Work Study Programme (IWSP))
    • Relevant system updates on career and IWSP related records for the undergraduate/postgraduate suite of programmes.
    • Track, maintain and ensure that the industry partners’ accounts and relevant Job Descriptions for student work attachment positions are posted correctly, and approved timely via the job portal.
    • Manage and reply to enquiries pertaining to IWSP and full-time employment.
    • Liaise with, assist and guide industry partners on student job portal issues.
    • Coordinate with Career Coaches on IWSP numbers for regular reporting across programmes.
    • Work closely with various teams to jointly finetune and develop standardised systems and processes.
  • Communication to Students
    • Manage the mailbox and send eDMs to students to ensure students are updated on all career related events, activities and initiatives that will support them in the career development.
  •  

  • Admin, Event & Logistics Support
  • Member of the Operations team:

    • Involve in the planning of the annual career fair and other events organised by CCR.
    • Liaise closely with organising team and vendors on catering, logistics, audio visual equipment and marketing materials.
    • Support the onsite set-up/teardown of career and mentorship events, training workshops and outreach activities to freshmen during orientation.
    • Inventory management including stocking taking and organisation of the division store.
    • Raising of purchase requests and follow-up payment procedures.
  • Adhoc Requests
    • Assist in any other tasks as assigned by the Reporting Officer or Deputy Director.

     

    Requirements:

    • A tertiary qualification in any discipline
    • 2 to 3 years of relevant experience in general administration, co-ordination in a fast-paced environment
    • Proficient in MS Office, particularly in Microsoft Excel and PowerPoint
    • Competent, adaptable and meticulous
    • Experience in maintaining clear and accurate records
    • Forward thinking with good initiative at work
    • Confident in writing and conversing to industry professionals
    • A team player who is willing to work beyond his/her defined work scope, when required
    • Strong organizational and time management skills
    • Customer focused with a friendly disposition
