Senior Executive, Finance Research Ops

The Office of Finance (OFIN) supports the University in planning and executing sound financial management in fulfillment of the University’s mission; implementing and maintaining a robust financial framework that supports management in effective decision-making; providing fiscal stewardship of University’s resources; and ensuring financial governance and compliance with regulatory requirements.

Responsibilities

  • Ensure efficiency in carrying out the following tasks:

    • Maintenance of SAP project accounts, funded programs and grant accounts for new projects and changes to existing projects

    • Liaise and clarify with various stakeholders on account creation matters

    • Verification of financial information for project setup and budget virement in research system

    • Prepare claims and trigger invoice from research system

    • Prepare fund transfers journals

    • Follow up to clear outstanding items

    • Follow up with funders on outstanding claims

    • Prepare Final statements of accounts (FSOA)

    • Refund of balances (payments & journals)

    • Closing of SAP accounts

    • Closing of project accounts

  • Ensure timely submission of research grant claims

    • Prepare grant claims in accordance with the funding agencies mandate

    • Check to ensure that the grant claims prepared by Schools/Centres are accurate and are in accordance with the funding agencies mandate

    • Ensure FSOA are submitted to funding agencies within the stipulated timeline

  • Prepare journals to allocate grants received to individual projects (Joint collaboration projects)

  • Handle enquiries from funding agencies, Schools, researchers

  • Participate and/or drive ongoing and ad-hoc projects in improving processes and systems enhancements and/or formulation of policies relating to financial administration of research grants

  • Clear grant claim queries raised by funding agencies promptly

    • Liaise with funding agencies, PI etc when the need arises

    • Follow-up with PI/Schools on non-fundable expenses 

  • Support Senior Assistant Director/ Senior Assistant Manager in various financial and management reporting and audit issues

  • Other adhoc work

Requirements

  • Diploma or Bachelor Degree or equivalent in accountancy

  • Preferably at least 2 years’ experience in handling research project accounting and submission of grants claims or equivalent knowledge and experience would be advantageous

  • Proficient in Microsoft office, SAP (Ariba/Hana/Concur) and Workday
