The incumbent plays an instrumental role in supporting the HR Business Partner (HRBP) and the School Management Team especially the School Chair and Associate Chair (Faculty) in effective HR operations specific for faculty members, in alignment with University's policies and guidelines. The incumbent is expected to provide guidance and support on a wide range of HR matters such as employee relations, performance management, talent acquisition, compensation, benefits, compliance and the successful execution of HR programs and initiatives, with the aim to drive positive employee engagement experience.
Responsibilities:
To drive operational excellence and provide support on Faculty HR/ Faculty Affairs
Work with School on faculty manpower projections, budget and costings.
Plan and manage faculty searches (including coordinating campus visits/research seminar and student lecture/interviews; arranging faculty candidates’ accommodation and schedules for campus visits, and assisting with reimbursement); appointment of shortlisted faculty candidates, re-appointment, post retirement re-employment for various faculty tracks, including tenured, tenure-track, lecturer track, faculty associate, adjunct and visiting.
Work with HR and School Leaders in seeking approvals on faculty leadership appointments and re-appointment.
Plan and manage Promotion and Tenure (PT) and Educator-Track & Practice-Track Promotion Exercise.
Assist in planning and implementing the annual faculty performance appraisal exercise and support the Faculty Performance Review Board (PRB) meetings.
Support in the conceptualization and implementation of faculty development initiatives such as mentorship programme.
Through data and analysis, support the school in building a nurturing, positive, performance based and forward-looking culture with professional best practices.
Support the School on management of disciplinary or grievance matters.
HR Policies, Processes and Systems
Partner with fellow Faculty HR Team members across Schools in driving standardisation and improvement of faculty HR related processes, standard operation procedures (SOPs), with the objective of achieving operational efficiency & effectiveness, compliance with regulations and policies, and service excellence.
Educate employees on policy/system changes and implications, as well as understand and gather their feedback and inputs for future improvements.
HR Partnership
Assist HRBP in partnering and supporting stakeholders and employees in a proactive and consultative approach on the full spectrum of HR functions.
Provide professional advice on the interpretation of HR policies and procedures, employment legislation, performance management, recruitment and rewards strategies.
Partner with HR’s Centre of Excellence and relevant School stakeholders in the delivery of key HR projects such as employee engagement surveys, people development programs, change management plans, performance management and promotional exercises etc.
Requirements:
Degree with minimum 5 years of relevant working experience
Able to multi-task and prioritize effectively with an outstanding attention to details
Self starter and a team player with strong planning, organizational and analytical skills
Excellent communication skills (both written and verbal)
Able to build and maintain effective interpersonal relationships at all levels; handle sensitive matters with tact and discretion, while building trust and upholding confidentiality
Proficient in MS Office Applications (Word, PowerPoint, Excel)
Good knowledge of Employment Act and Labour Laws
Comfortable in operating in a matrix structure (where applicable), as well as in a fast-paced and dynamic environment
Experience in using Workday will be an added advantage
