Associate / Snr Associate –Architecture and Sustainable Design (ASD) Pillar

Job description:

  • Ensure that the programme runs smoothly and effectively.
  • Provide general administrative support to faculty. (e.g., assist in travel arrangements and travel claims, recruitment of teaching assistants and student helpers, exam processing, etc)
  • Liaise with course instructors and relevant departments on programme and student related matters. (e.g. class timetable scheduling, course registration, student exchange programme, etc)
  • Manage the course budget for respective course leads and assist in procurement and finance-related matters.
  • Process, track and maintain student records for graduation requirements.
  • Coordinate student feedback sessions. Consolidate the information gathered and monitor follow-up actions.
  • Provide periodic data/information and reports as required.
  • Assisting students in the programme including all course-related matters. (e.g. enquiries, ad-hoc academic counselling, and student wellness matters, etc)
  • To assist in onboarding and offboarding of visiting professors/reviewers brought in by invitation of ASD faculty, ie, administering work pass application and issuance, request for desk, access card, IT Support, etc.
  • Provide overall event management coordination and admin support including managing stakeholders, planning and execution of programme outreach activities, events, (e.g. workshops, talks, open house, course reviews, etc) campus visits/tours, creation and dissemination of communication materials.
  • Assist Associate Programme Director as and when required in programme administration and office administration matters.

Requirements

  • A bachelor’s degree with at least 3 to 5 years of work experience preferably in education related areas
  • Able to work independently and as a team player.
  • Able to manage multiple and competing tasks/deadlines well.
  • Excellent interpersonal and communication skills. Able to work with people at different levels.
  • Meticulous and detailed oriented with strong organisational skills.
  • Proficient in Microsoft Office tools
