The Senior Assistant Manager/Manager coordinates and oversees administrative duties to ensure the smooth and efficient running of the SIT Archives Office on a day-to-day basis.

Key Responsibilities

  • Maintain office efficiency by maintaining the appearance of common areas, organizing procedures, handling correspondence, managing the filing system, and overseeing supplies and equipment.
  • Provide direct administrative support, including managing budget, procurement of goods and services, maintaining calendars and scheduling appointments and meetings, mailing and shipping packages, and updating contact database and employee list.
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate delivery as needed.
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested.
  • Develop office policies and procedures, and ensure they are implemented appropriately.
  • Provide other administrative support as necessary, including creating reports and project coordination.

 

Job Requirements

  • Graduate degree in business administration, communications or any related field.
  • 3 to 5 years of relevant work experience in administration or office management role, archiving work experience is an advantage.
  • Well-organised, meticulous and able to take initiative and prioritise.
  • Excellent communication and personal skills, both spoken and written.
  • Strong problem-solving skills and analytical abilities.
  • Proficient with Microsoft Office and Google products.
  • A team player with leadership skills.
  • Ability to work independently in a fast-paced environment.
