Job Description

The individual in this role will support the Programme Directors of the NUS Medicine Infectious Diseases (ID) Translational Research Programme (TRP) in various areas, including human resources related, finance, procurement, research collaborations, outreach, website content management, event management, business development, and other administrative tasks.

 

Responsibilities include:

  • Oversee and manage duties performed by IDTRP administrative staff
  • Human resources matter: academic hiring, academic appraisals and other HR related matters
  • Assist administratively Principal Investigators (PIs) during their Promotion & Tenure dossier preparation and submission
  • Finance matter: manage ID programme budget; provide support to PIs with grant account management issues
  • Legal matter: liaise with NUS legal offices for programme level legal matters
  • Oversee administrative and logistic aspects for workshops, conferences, retreats, SAB, social events, official visits, etc, organized by the programme.
  • Lead administrative and logistical support for IDTRP events (SAB, retreats, recruitment visits, social gatherings)
  • Assist PDs in collating material for quarterly ID TRP meetings; annual ID TRP appraisal; annual ID TRP presentation to HOD/PD meeting.
  • Provide guidance for IDTRP seminar series and the Work-in-Progress seminars.
  • Any Ad-hoc tasks assigned by Directors and Admin Lead

Qualifications
  • Bachelor’s degree in business or management with at least 5 years of relevant work experience.
  • Demonstrated leadership skills in managing small teams with strong sense of initiative
  • Takes initiative and possesses strong problem-solving skills, ability to multi-task and able to perform independently.
  • Meticulous with a good eye for detail
  • Excellent oral and written communication skills, with strict integrity standards in handling confidential matters
  • Well organized with good monitoring and follow-up skills within tight deadlines from conception to completion, in a University setting
  • Resourceful and comfortable in a fast-changing environment
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Ability to think outside of the box with a sense of urgency.
  • Proficient in Microsoft Office Applications (Word, Excel and PowerPoint)
