The NUS Health & Wellbeing (Office of the President) is responsible for the innovation, implementation and evaluation of health & wellbeing programmes which support the general NUS population, as well as specific employees whom are exposed to acute mentally-stressful events. 

 

The University Counselling Services (UCS) falls under the ambit of the NUS Health and Wellbeing unit, where our mental health professionals  and operations colleagues facilitate clinical psychological support to individual employees and work with departmental leaders to enhance students’ health and wellbeing. You will work with a team that is dynamic, fun, and most of all, passionate about supporting the health and wellbeing of our people. 


Duties & Responsibilities

 

Front Desk Duty: 

  • Execute front desk duties that include but not limited to scheduling of clients’ appointments, administering walk-in clients, managing telephone calls and handle enquiries, providing programmes information, and centre-related administrative duties
  • Attend to queries from internal and external stakeholders
  • To be rostered as an Operations and Administrative support for the new satellite clinic

 

Data/System Related Duty:

  • Participate in customer reviews to explain trends from data sources and identify opportunities for improvements
  • Tabulate statistical data for management reporting
  • Support work process improvement and feedback collation

 

Administrative Duty: 

  • Provide support planning, logistics, coordination and execute actions required for department events and other initiatives
  • Support the full spectrum of administrative functions, including but not limited to procurement and invoicing, overall office keeping process, meetings/programmes coordination, etc. that will ensure a smooth running of the operations
  • Perform ad-hoc departmental projects/activities as assigned by the management

Requirements
  • Bachelor’s degree in Business Administration, Operations Management, Hospitality, or similar field related to client-managing
  • Minimum 3 years of relevant working experience
  • Able to work flexible hours from 11.30 am to 9pm for at least 2 to 3 days of the week
  • Proficient in Microsoft Office, Outlook, Teams
  • Good knowledge of front end and data visualisation tools for analytics applications implementation (dashboard, reports) with preferably previous experience in Advanced Microsoft Excel (E.g. Formulas, Pivot tables, V-Lookup, etc), Microsoft Power BI, Qualtrics
  • Good analytical, synthesis, and communication capacity (written and oral), ability to negotiate and influence both internally and externally.
  • Fast learner on new domains, capacity to swiftly ramp up on knowledge curve, ability to operate both independently and in team with minimum prompting.
