Management Assistant Officer (Institute of Water Policy)

The job holder shall provide general finance and administrative support for the institute’s day-to-day operations.


Duties and Responsibilities

FINANCE/PROCUREMENT

  • Assist with the day-to-day finance claims (invoices, reimbursements, Request for payments) and the department’s budgeting
  • Assist with online processing of e-invoices/p-card transactions/procurement matters
  • Work with the School’s finance on claim submission to our stakeholders
  • Taxation filing for invited speakers to workshops funded by IWP
  • Payment/reimbursements to workshop participants


ADMINISTRATIVE SUPPORT FOR RESEARCHERS

  • Assist researchers and Adjunct/Visiting academics with the administrative aspects of their projects (group travel bookings, submission of claims, request for payments, procurement of vouchers/survey/materials related to research projects)
  • Hiring of research assistants under the various schemes


ADMINISTRATIVE SUPPORT FOR THE INSTITUTE

  • Coordinate IWP Research Seminar Series with Research Assistants
  • Organize IWP’s workshop and events hosted by the institute
  • Assist with logistics of internal working meetings – catering, food vouchers
  • Assist with internal grant administration
  • Uploading of events on the institute’s social media platforms
  • Requisite department’s stationery supply/name cards for staff
  • Handles the subscription of journals and purchase of books for the Institute's Library as and when requested. Labelling of journals/books and maintenance of library records
  • Any other ad hoc duties assigned by management

Requirements
  • Degree from a recognized institution/university, preferably finance-related
  • Independent worker who is well-organized, ability to multitask and a good team player with initiative and resourcefulness
  • Possess good interpersonal skills
  • Possess good written and spoken communication skills
  • Proficient in Microsoft Office Applications, particularly MS Word, Excel and Powerpoint
  • Flair for finance (familiarity with SAP financial) will be advantageous
