Job Description

The incumbent will provide administrative support to the Undergraduate Studies Section of the Dean's Office, Faculty of Science. The duties and responsibilities include, but are not limited to the following -

1) Faculty Co-ordinator for module registration

  • Prepare data for module registration.
  • Provide timely information and advice to departments and students.
  • Handle student enquiries and appeals efficiently.
  • Work with central module registration team to troubleshoot any technical issues.

2) Faculty Co-ordinator for Satisfactory/Unsatisfactory (S/U) option

  • Prepare S/U requirements data for the respective cohorts.
  • Handle student enquiries and appeals efficiently.

3) Co-ordinator for Outstanding Undergraduate Researcher Prize

  • Call for applications and collate submissions.
  • Arrange for presentations to judging committee.
  • Liaise with Registrar's Office on the finalisation of awards.

4) Administrator for Computational Biology Programme

  • Assist in the areas of admission applications, honours year projects, curriculum review, undergraduate research opportunities programme in science, and examinations.
  • Co-ordinate on student related matters such as academic mentoring. 
  • Attend to student enquiries pertaining to the programme.

5) Undergraduate Research Opportunities Programme in Science (UROPS)

  • Ensure UROPS modules are mounted in the Module Registration System.
  • Coordinate registration of UROPS projects.
  • Prepare and liaise with finance on reimbursements to departments.

6) Design Your Own Module (DYOM)

  • Seek approval and allocate group DYOM modules to students.
  • Attend to enquiries pertaining to group DYOM.

7) Special Programme in Science (SPS)

  • Update student status in Edurec.
  • Pre-allocate SPS modules to students.

8) University Scholars Programme (USP)

  • Register students and keep track of Independent Study Modules.

9) Undergraduate Studies Section duties

  • To be rostered for section duties such as taking notes of regular section meetings, replying to email enquiries from students, as well as counter duties.

10) Others

  • Provide assistance at University/Faculty level events such as Open House, Freshmen Orientation Briefing, and Commencement.
  • Any other duties as assigned by the Vice Dean.

Qualifications
  • Degree holder with positive learning attitude.
  • Experience in programme and module administration will be advantageous. Those with no experience are also welcome to apply.
  • Proficient in Microsoft applications.
  • Ability to work under pressure and multi-task in a fast paced environment with multiple timelines and demands.
  • Ability to exercise tact and discretion in handling sensitive and confidential information.
  • Possess effective oral and written communication skills.
  • Mature, independent, adaptive and meticulous.
  • A team player with the ability to interact well with all levels of stakeholders.
