Short Description

To provide administrative support to the SoC Research Office.


Job Description

1. Act as a central collator and assist in the preparation and submission of project proposals, budget plan and projections from all partner institutions.    Seek necessary approvals for all submitted requests.

2. Manage research project accounts and reconcile the monthly statement of accounts. Ensure that manpower hired, equipment purchased and all other expenses   charged to the grant are within the list of items approved by grantor. Monitor the project funds utilization rate,         allocations and commitments and feedback   to principal investigators.

3. Seek reimbursement from grantors and disbursement to partner institutions according to the payment schedule detailed in the project agreement and track    the receipt of funds. Prepare documents for audit.

4. Prepare customized half-yearly and final reports for principal investigators' completion and ensure timely submission of reports. Prepare customized    variation and extension requests for principal investigators' completion. Seek necessary approvals for all submitted requests.

5. Coordinate the recruitment of research staff between applicants and HR Office. Process part-time work applications and claims. Coordinate the visits of    Visiting Professors and Visitors and process reimbursements. Maintain and update records for each of the above.

6. Procurement of goods. Liaise with principal investigators, research staff and vendors on the procurement of goods and services. Ensure that goods are    delivered to the respective research labs and process payments. Monitor fixed assets.

7. Publicity and logistics preparation for events.

8. Process claims submitted by principal investigators, research staff and students. 

9. Organize travel arrangements (e.g. flight bookings, accommodation bookings, visa application, conference registration) and schedule meetings.

10. Prepare minutes of meeting, presentation material and statistical reports for the faculty.

11. Support faculty’s events and activities.
 


Qualifications

- Bachelor’s Degree holder (entry level candidates are welcome) or Polytechnic Diploma holder with at least 10 years' of work experience in a fast-paced, dynamic environment

- Demonstrate initiative and good interpersonal communication skills

- Good writing skills and experienced with web management 

- Analytical, resourceful and energetic 

- Able to multi-task and deliver under tight deadlines

- Strong sense of customer service
