Job Description

University Health Centre (UHC) set up under NUS, is a holistic healthcare provider for the entire NUS community.  You will be part of a multi-disciplinary team under UHC, providing administrative support to ensure a smooth and efficient running of the department’s operations.

Duties & Responsibilities:
1.    Responsible for the full spectrum of procurement function of the department to ensure strict compliance with the University's Procurement Policy and Guidelines. Responsibilities include but not limited to:
•    Execution of procurement strategies and sourcing activities
•    Contract management to ensure quality and timely delivery of goods and services.
•    Point-of-contact for the department on all procurement related matters, working closely with Procurement Business Partner, department users, vendors and contractors.
•    Execution of procurement transactions in NUS' e-procurement portal, etc.

2.    Provide IT administration support for the department.  This includes, amongst others
•    IT Resource Management - manage and track IT assets (e.g. workstations, laptops, notebooks, iPads, printers, etc), disposal of old IT equipment in accordance with NUS policy and guidelines, etc.
•    IT User Support - configure and set up IT equipment, manage in-house network printers, troubleshoot software or hardware issues and provide resolution, etc.
•    Computer Account Management - manage visitor user accounts, manage IT security and policy compliance, etc.

3.    Ensure annual BCP exercise are properly executed, documented and reviewed, this includes managing and coordinating BCM program of the department, serving as a point-of-contact on all business continuity matters.

4.    Administrative support for medical records management.  This includes, amongst others, maintain and organise medical records, tracking of medical diagnostic test orders and vaccination status, etc.

5.    Work closely with Facility Manager as backup, in tracking and renewing of license and maintenance contracts for facilities and equipment before expiry.

6.    Perform ad-hoc department projects/activities as assigned by the management. 


Qualifications


•    Bachelor degree with 4 - 5 years of working experience in procurement, contract management, and IT support services.
•    Experience in healthcare setting is an added advantage.
•    Mature, proactive, organised, and meticulous.
•    Excellent interpersonal skills, with ability to relate well with people at all levels and good service orientation.
•    Excellent analytical, communication and writing skills.
•    Good team player, able to multi-task and work within tight deadlines.
•    Self-starter and able to work independently with minimum supervision.
•    Proficient in Microsoft Office.
