You will be part of the Contracts, Procurement, Finance & Admin team in the Office of Campus Infrastructure and Facilities (OCIF).
You will report to a Senior Manager and work together with other teams in the department to provide support services in contracts, procurement, finance and administrative services, continual refinement of processes and frameworks and delivery of key performance indicators (KPI) to support our campus operational requirements. You will also work together with key stakeholders in the community to drive OCIF programmes and engagement activities in the University.
Responsibilities:
- Support the Senior Manager in Office Administration such as:
- Documentation records;
- Payment processing
- Procurement of Goods and Services;
- Support in the planning, updating and compliance of OCIF’s Contracts, Procurement, Finance and Administrative policies;
- Ensure compliance of OCIF procedures and checklists;
- Regularly check on stock inventories managed by the team and ensure timely replenishment;
- Conduct system audits, where applicable;
- Preparation of reports and tracking of KPIs;
- Other duties as assigned by the Senior Manager.
Requirements:
- Minimum Diploma in any discipline with at least 3 years’ of Office Administration experience or “A” or “O” or equivalent with at least 5 years’ of Office Administration experience, preferably in institutional, educational, research or large scale commercial developments;
- Conversant in Microsoft Office and computer literacy;
- Excellent verbal and written communication skills and inter-personnel skills with the ability to communicate effectively across all levels and functions well in a team; and
- A team player
