Job Description

Schedules and meetings

  • Manage the Director's diary and schedule meetings and appointments
  • Prepare all materials and papers required for meetings for Director's reading
  • Book venues, meeting rooms or Zoom schedules

Travel

  • Manage all Director's travels and business trips
  • Prepare travel dossiers
  • Correspond with all parties involved with business trips
  • Travel logistics: Airfares, accommodation, visa, expenses, claims, etc

Director's communications (Singapore)

  • Support and manage Director's correspondence and filing
  • Prepare and circulate Director's circulars and memos
  • Corporate presentations and roadshows

Director's communications (International)

  • Manage Director's international correspondence as a Nobel Laureate
  • Manage conference invitations and participations
  • Communications with academic, research and business partners

Director's overseas appointments

  • Curate Director's overseas appointment and positions: terms, durations, remuneration (if any), obligation and tracking

Administration (in close collaboration with Administrative Director)

  • Support Director on all RCE-level reporting requirements including annual reports, MOE dashboards, Governing Board meetings (collation for Director's vetting)
  • Support Director as liaison with all audit exercises
  • Support Director on all approval requests on finance and reimbursement, purchasing, HR, leave and disciplinary matters, etc
  • Support Director on academic matters such as approval of scholarships, graduate programmes, RCE internship programmes, summer schools (together with outreach team), etc
  • Support Director in safety compliance of the RCE as well as Director's safety KPIs
  • Support the strategic hiring and staffing of the RCE; collating CVs and dossiers for Director's review and contracts and letters of appointment for signature
  • Collate procurement dossiers for Director's approvals; screening of documentation for completeness

Qualifications
  • Minimum Diploma in secretarial, business administration or accounting
  • At least 5 years personal assistant experience (preferably in universities, statutory boards or civil service)
  • Ability to multi task and comfortable with a fluid environment within a newly established and growing organisation
  • Excellent diplomatic and communication skills
  • Excellent command of English
  • Good knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, etc)
  • Ability to resolve complex issues and to make good judgement calls and propose solutions
  • Inclusive and team player who strives in collaborative environment
  • Adhere to high standard of professional integrity and ethics
  • A congenial and resilient personality with a positive and genuine interest in supporting a community of scientists
  • Good knowledge of academic policies and regulations would be helpful
