Job Description

The incumbent will provide support to the Department of Mathematics, Faculty of Science. Duties and responsibilities include, but are not limited to the following -

1) Work closely with Programme Director(s) and Dean's Office, to take charge of the overall administration of the PhD and MSc in Mathematics Programme (Research) throughout the student lifecycle.

- Lead the outreach efforts in promoting the degree programmes in Singapore and the region, including organizing programme briefings, managing the programmes' marketing collaterals and other social media content.

- Collaborate with the Programme Director, faculty members and Dean's Office to manage the programmes' admission cycles to upkeep the programmes' quality.

- Take ownership of the end-to-end administration of the programmes including 

  • Man the role-based email accounts and attend to the enquiries.
  • Facilitate the selection process and prepare dossiers for review and submission.
  • Facilitate student matriculation process and help organize programme orientation.
  • Take charge of programme-related timetabling and module registration.
  • Assist in the administration of examination end-to-end.
  • Act as the anchor person for examination processing including graduation check.
  • Maintain tuition fee table and update Finance office on tuition fee charging.
  • Monitor student fee payment progress and follow up on outstanding fees.

- Liaise with both external and internal stakeholders to promote the Programmes' career services, to assist to secure internship/full-time job opportunities for students.

2) Facilities and Safety management

  • Work with Office of Facilities Management to resolve facilities related feedback.
  • Conduct quarterly fire safety inspection checks through fire wardens.
  • Conduct fire drill at least once per calendar year.
  • Submit application for Fire Safety Excellence Award
  • Manage inventory for office equipment.
  • Programme smart card access for staff and students.

 


Qualifications/Requirements/Other Info
  • General degree with 5 years of relevant work experience. At least two years of experience as programme coordinator in the higher education sector is preferred.
  • Excellent communication and organization skills.
  • Service oriented with ability to multi-task and undertake challenges.
  • Proactive and able to work independently.
  • Meticulous with a positive work attitude.

Remuneration is based on a 12-month salary structure, with annual variable bonus which is subject to incumbent’s performance and the University/School’s prevailing remuneration policies.

The incumbent will be emplaced at an appropriate appointment grade based on his/her individual merits.
