Description

 

Responsible for the administration of the NUS Mind-Science Centre (NMSC) which includes operations, fundraising/development work, events, volunteer management and communications. The Admin Director will work with the Centre Director to fulfill the Centre's mission, which is to promote the use of psychosocial interventions to build the mental resilience of the community across the age continuum.

 

Duties & Responsibilities

 

OPERATIONS: Day-to-day operational management of NMSC (30%)

  • Report to Supervisor in weekly meetings details of all progress conducted in the previous week.
  • Create a matrix of objectives and timelines with Director.
  • Enter data on prospects and proposals in database.
  • Prepare quarterly report to share with Director, Dean and the Board of Advisors.
  • Work with the YLLSoM communications team on communication NMSC materials.
  • Oversees and prepare BOA meetings, in support of MSC Director.

FUNDRAISING/DEVELOPMENT WORK (20%)

  • Work with DVO and YLLSoM Development Office to prepare gifts agreement, stewardship reports, government matching grant applications and naming approvals.
  • Acknowledge and ensure gifts are properly recorded and processed.
  • Ensure all gift recording documents are complete and available for audit.
  • Update DVO Gift Registry and ensure tax deductible receipts are received by donors.

VOLUNTEER MANAGEMENT (10%)

  • Serve as a contact point for Board Advisors, volunteers and all other stakeholders.

COMMUNICATION AND CENTRE PROFILING (20%)

  • Plan, communicate and profile the academic and translational research activity and programs, to the larger public and community partners.
  • Develop and establish the Centre Web Page and Facebook portal to update public and partners of the professional work and outreach activities.
  • Identify and strategize annually the communication target audience.
  • Design and develop a MSC Web portal and Facebook as a community outreach and profiling.
  • Identify key news lead for media exposure twice a year.

EVENTS (20%)

  • Plan and execute one high-profile event per year, one Board/volunteer retreat and ad-hoc NMSC Greater Good Series events.
  • Work with YLLSoM events and communications teams to organize events.
 



Qualifications

 

Requirements

  • Min 7 years of experience and a Bachelor's Degree.
  • Excellent written and oral communication skills, including writing, editing and proofreading to ensure a professional product.
  • Fundraising and development work experience. Experience interacting with high networth donors and high profile volunteers.
  • Event planning skills required: Event promotion, speaker recruitment, registration, conference materials production, vendor acquisition/contracting, and budgeting.
  • Proficient in basic computer applications (Word, Excel, PowerPoint and databases).
  • Team-oriented with strong management skills.
  • Candidates must possess a polished demeanor and strong organizational skills.
