Scion specialises in research, science and technology development for the forestry industry, wood products, and wood-derived materials and chemicals. We lead new technology development for renewables, bioproducts and energy and the establishment of a broader-based circular bioeconomy.

We are looking for a highly competent Management Assistant to provide executive management support to the brand-new Timber Design Centre. This one-year fixed term position, based in Christchurch, will be vital in ensuring that the team can meet project milestones on time. The position will be 0.6 FTE at 24 hours per week.

The ability to accurately and competently coordinate and manage correspondence, administer reports and documentation & manage schedules using Scion's in-house project management methodology is essential. The role also involves managing procurement and invoicing, scheduling meetings and catering, and organising travel and accommodation.

Key accountabilities:

  • Deliver high quality administration services through efficient and competent management of team admin process in support of timely outcomes.
  • Support new team members through an efficient team induction process and contribute towards continuous improvement to enable a positive employee experience.
  • Support teams in the effective delivery of project administration to enable effective delivery on agreed objective and timelines.
  • Provide coordination and management of Timber Design Centre general stakeholder communications and event management initiatives, including Timber Design Awards, periodic newsletters, website content updates and where relevant, social media communications.

To be successful in this role, your skills and experience will include:

  • Relevant qualification, with at least 3 - 5 years' practical experience in a similar role or project delivery role.
  • Proven ability in project coordination and supporting project delivery within an organisation, including coordinating contracts (issuing, receiving, invoicing).
  • Demonstrated experience with communications activities including preparing or overseeing development of newsletter material, website content and events planning and management.
  • Demonstrated experienced in all Microsoft office programmes with proficiency with Microsoft Word, Microsoft Excel, and SharePoint.
  • Excellent time management, organisational, and planning skills are essential.
  • Advanced keyboard skills will be essential.
  • Able to clearly express ideas in writing in good grammatical form will be essential.
  • Proven ability to communicate and significant interpersonal skills to interact at all levels.
  • Competent in Scion's standard software packages would be ideal, but not required (Lotus Notes, Popeye - Quik Trak, Finance 1, Timesaver)
  • Demonstrate a proven ability to work cooperatively and confidentially within a team environment, sharing tasks and accountabilities.
  • Ability to use initiative, make decisions, and work unsupervised.
