The role/Te mahi

We have an opportunity for a proactive, organised and enthusiastic person to join the Lead Administrator team in the School of Biomedical Sciences.

In this role you will lead staff, manage the provision of administration support, and be involved in process improvement, strategic initiatives and special projects. You will support a team of on-site Client Services Administrators and work closely with key academic staff including Heads of Department and/or Directors of teaching programmes.

The role will require you to:
•    Communicate regularly and work closely with stakeholders.
•    Develop a working knowledge of your team’s day-to-day administrative tasks and University of Otago systems and processes.
•    Ensure your staff are appropriately trained, equipped and supported to fulfil their roles.
•    Work continuously to improve systems and processes.

You will work alongside two very experienced Lead Administrators and as part of a supportive leadership team.

The successful candidate will have:
•    Significant experience in a busy and/or complex administration environment.
•    Previous supervisory experience or exposure to managing teams.
•    The ability to be calm, adaptable and flexible in a fast-paced environment.
•    Strong communication skills and the ability to deal with challenging people.
•    A positive team approach that is solutions focused.
•    Strong Microsoft Office skills.

Experience in a tertiary education institution would be advantageous.

You will be a highly organised self-starter, who enjoys problem solving and is excellent at building and maintaining effective relationships with clients, students, and colleagues. Your relationship building skills will be important, ensuring that you become the trusted point of contact for a range of students, staff, and visitors.

About our team/Mō te tīma

Client Services are a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to the University’s internal and external customers.

You will be working in a team of three Lead Administrators within the School of Biomedical Sciences, reporting to the Manager Client Services.

This is a permanent, full-time (37.5 hours per week) position, located in Dunedin. Part-time hours may be negotiated with the ideal candidate.

You must have the right to live and work in New Zealand to apply for this position.

The appointment range for this position is $70,602 to $76,668 per annum, top of range is $82,849 per annum.
