Turning 150 years old in 2019, the University of Otago is New Zealand's first and oldest University. It has a strong teaching and research tradition and well-established national and international linkages. At our Wellington campus, we deliver undergraduate and postgraduate teaching in medicine, radiation therapy, physiotherapy, postgraduate qualifications, and papers, and undertake a wide variety of health-based research.

The Division of Shared Services is a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

The role/Te mahi

As a Lead Administrator Client Services, you will lead a group of Client Services Administrators and proactively coordinate administrative support to one or more work areas. In this position, you will help to guide and develop a supportive work culture that delivers an excellent customer experience.

This role supports the Interprofessional Education Centre (IPE Centre) and is based on the University of Otago Wellington Campus.

The Interprofessional Education Centre (IPE Centre) is the nexus for all aspects of the delivery of IPE to more than 3,000 University of Otago health and social care students each year, as well as students from partnering institutions.

This role requires close liaison with a variety of staff across multiple sites, including programme leads, the manager of the Tairāwhiti and Te Tai Poutini (West Coast) immersion sites, and external institutions.

Delivery of the programme occurs in three University campuses, and 8+ regional sites across Aotearoa, from Invercargill to Tairāwhiti, and includes 100+ IPE facilitators.

You will be working in a team as part of the wider Shared Services Division. Your relationship building skills will be important, to ensure you become the trusted point of contact for a range of students, staff and visitors.

In this role you will be:
•    Undertaking operational activities and/or projects in a timely and customer-focussed manner.
•    Providing a range of administrative support activities, including overseeing administration activities; meeting administration; coordinating and organising internal review processes; gathering information and drafting documents; ensuring accurate, timely and efficient administration activities.
•    Supervising others and managing day-to-day activities of your team, including prioritising and allocating workflow.

Your skills and experience/ Kā pūkeka me kā wheako

Candidates will have:
•    Considerable experience in a busy and/or complex administration environment.
•    A passion for customer service and delivering exceptional service to customers.
•    Previous supervisory experience or exposure to managing teams.
•    An ongoing commitment to positive outcomes for students, staff, and visitors.
•    Strong Microsoft Office skills.

This is a permanent, fulltime position.

You will need to be able to travel on occasion to rural locations and stay overnight.

A valid New Zealand drivers’ licence is essential.

You must have the right to live and work in New Zealand to apply for this position.
