About the role:                                                                                                         

We are looking for a highly competent Executive Assistant to provide executive management support to the General Manager - Science Services team. The Executive Assistant will be vital in ensuring that the team can meet project milestones on time and deliver science of excellence.

The ability to accurately and competently coordinate and manage correspondence, administer reports and documentation and manage schedules using Scion's in-house project management methodology is essential. This role also involves managing procurement and invoicing for the team, scheduling meetings and catering, organising travel and accommodation, and supporting the wider Science Services team.

Key accountabilities:

  • Be the principal support for the GM and Science Services Team regarding administration, processes, coordination and engagement.
  • Proactively support the GM Science Services in advance of internal and external appointments and provide assistance through diary management and gathering relevant information.
  • Deliver high quality administration services through efficient and competent management of team admin process in support of timely outcomes.
  • Support new team members through an efficient team induction process and contribute towards continuous improvement to enable a positive employee experience.

To be successful in this role, your skills and experience will include:

  • Relevant qualification, with at least 3-5 years' practical experience in a similar role.
  • Demonstrated experienced in all Microsoft office programmes with proficiency with Microsoft Word, Microsoft Excel, and SharePoint.
  • Excellent time management, organisational, and planning skills are essential.
  • Advanced keyboard skills will be essential.
  • Able to clearly express ideas in writing in good grammatical form will be essential.
  • Ability to deal with sensitive situations, display discretion and maintain confidentiality at all times.
  • Excellent interpersonal relationships management skills to work co-operatively and in a team environment.
  • Ability to anticipate and be pro-active in assisting with the Managers workload.
  • Proven ability to communicate and significant interpersonal skills to interact at all levels.
  • Experience using Scion's standard software packages (Lotus Notes, Popeye - QuikTrak, Finance 1, Timesaver) would be advantageous.
  • Demonstrate a proven ability to work cooperatively and confidentially within a team environment, sharing tasks and accountabilities.
  • Ability to use initiative, make decisions, and work unsupervised.
