Executive Assistant (Current AUT Employees Only)

Updated: about 1 year ago
Job Type: FullTime
Deadline: 27 Mar 2023

  • AUT is New Zealand's fastest-growing university and one of the country's largest organisations
  • Permanent, full-time role based in Manukau and Auckland CBD

An exceptional opportunity has arisen at Auckland University of Technology (AUT) for an energetic, mission-focused, and self-motivated person to provide executive support and personal assistance to the Pro Vice-Chancellor Pacific Advancement (PVC PA) and project support to the wider Office of Pacific Advancement team.

AUT recognises and respects the importance of te Tiriti o Waitangi and its centrality to the mission and work of the University. Office of Pacific Advancement (OPA) necessarily recognises continuous ancestral connections to this region, the tino rangatiratanga of tangata whenua, and the shared oceanic ties which are unique to moana peoples' position as tauiwi.

OPA is grounded in a collective commitment to elevating the well-being and success of Pacific communities at AUT and beyond. As a member of this team, you will support the PVC PA with diary, meeting and office management, financial administration, as well as contributing to the project administration of programmes and initiatives which span the student and staff experience; academic research development, impact and engagement; advocacy, and community-based collaborations and partnerships.

This rewarding role requires flexibility, initiative and proactivity, and the desire and capacity to identify opportunities for improvement to practice and process. You will hold a heartfelt commitment to strengths-based approaches to enabling Pacific peoples' success and opportunities to platform Pacific knowledge, cultures and ways of being.

You will have a minimum of three years experience in an administrative role in a public sector or commercial organisation - ideally in an education context - and sound experience working collaboratively within a team. You will be willing to take on responsibility in a thoughtful and proactive way, and support OPA with developing and maintaining positive relationships with all internal and external stakeholders. Courtesy, confidentiality, a positive demeanour, sense of humour and discretion are vital.

You will also have:

  • Relationships with Pacific communities and an understanding of Pacific experiences at AUT
  • Relevant tertiary qualifications and/or minimum of 5 years' experience working in a senior PA/EA role
  • Strong organisational skills and the ability to anticipate and prioritise demands
  • Strong computer literacy skills; e.g. MS Office Suite, email, calendar, internet, CRM, AutOne
  • developing and maintaining excellent relationships with staff and guests at all levels

AUT is a great place to work and this is an exciting and rewarding position at the centre of our university's activities around Pacific success. We have a range of staff benefits, including a personal fund for your continued professional development and generous leave allowances.
