The role/Te mahi As an outstanding and highly organized administrator, you will be part of a team providing essential administration support in the Faculty of Dentistry to our undergraduate and postgraduate dental programmes and dental hospital services, while also playing a vital part in the education of New Zealand’s future dental/oral health professionals. You will provide proactive administrative support to one or more clinic and teaching work areas and will become a trusted point of contact for patients, students, staff and visitors. • Supporting academic staff with all aspects of the teaching program and general administrative assistance such as teaching space bookings, diary management, travel arrangements, and organizing Faculty/teaching-related events.
• Using University systems to update databases, extract data, and provide reports, transcripts, and other relevant data. You will become proficient in the use of Titanium, the patient management system used in the Dental Hospital.
• Assist with student inquiries related to admissions, course enrolment, course-works, and pastoral care support.
• Providing reception support in the Dental Hospital, including scheduling appointments, patient meet and greet, appointment and records management, payment/fees receipting, and patient account auditing.
• Rostering/timetabling of students and staff into patient clinics.
• Managing student/staff absences.
• Administration and coordination of student placements.
• Organisation and scheduling of CPR training for staff and students.
• Experience in a busy administration role where high levels of customer service are expected.
• A sense of humour and inquisitive mindset.
• Excellent organizational and time management skills.
• Flexibility to provide support where it is needed most.
• A passion for delivering exceptional assistance to customers.
• A desire to learn and a commitment to contributing to a positive team environment.
• Proficiency in the Microsoft Office suite of programs.
