As an Administrator Client Services in the Otago Medical School, and the Dunedin School of Medicine you will provide proactive administrative support to one or more areas ensuring the smooth operation of their work.

Our team of professionals have expertise in a variety of fields, and we currently have a number of exciting opportunities available for you to join us in the following areas:

Otago Medical School (OMS) – Dean support and curriculum support
In this role you will be supporting staff, and students undertaking undergraduate and post-graduate studies, including the Bachelor of Medicine and Bachelor of Surgery (MB ChB) medical degree programme, Bachelor of Medical Sciences, Master of Medical Science, intercalated programmes, PhD and MD.

Key tasks include:
•    Supporting several important OMS Committees, Sub-committees, Boards and annual meetings. 
•    Organising events and ceremonies.
•    Overseeing student verifications, student enrolment and scholarship issues via e-vision for medical students.
•    Producing paperwork for calendar amendments.

Otago Medical School and Dunedin School of Medicine - Surgical Sciences 
In this role, you will aid with administrative tasks across multiple departments of the Dunedin Medical School and Otago School of Medicine (Dunedin, Christchurch, and Wellington campuses). 

Key tasks include:
•    Liaising with and guiding students, receiving and collating assignment documents and data.
•    Attending meetings and preparing agendas and minutes.
•    Organising seminars and collating attendance data and presentation documents.
•    Capturing and editing seminar/meeting video recordings.
•    Organising examination materials and helpers and coordinating examinations for 5th year MB ChB students.

Dunedin School of Medicine – Women’s and Children’s Health
In this role you will provide administration support to enable the smooth and efficient running of Obstetrics and Gynaecology, which is part of the Department of Women’s and Children’s Health. 

You will be liaising with medical, administrative, and teaching staff within the University of Otago and Te Whatu Ora to organise rosters, teaching, equipment, and course materials for year 6 MBChB teaching. 

This role also provides support to the Head of Department, including diary management, organising meetings, travel, and accommodation.

Successful candidates must have:
•    Previous experience in a busy and/or complex administration environment.
•    A passion for customer service and delivering exceptional service to customers.
•    Strong knowledge of the Microsoft Office suite of programmes.
•    Excellent organisational and time management skills and attention to detail.
•    The ability to work as part of a team and individually.
•    The ability to be calm, adaptable and flexible in a fast-paced environment.
•    An ongoing commitment to positive outcomes for our students, staff and visitors.

The Client Services team is a group of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

These are all permanent, full time (37.5 hours) positions, located in Dunedin.
