The role/Te mahi

Embedded in the Health Sciences Divisional Office, this role is part of a team of Administrators providing effective and efficient administration to areas within the Divisional Office and staff who report to the Pro-Vice-Chancellor.  

In this varied role, you will provide vital and comprehensive support to leaders and staff of the Research Infrastructure and Biostatistics Centres, in particular.  

Key tasks of this role include:
•    Acting as a first point of contact for the centres.
•    Diary/calendar management and assisting with email correspondence.
•    Providing committee meeting support, including agenda preparation and note taking.
•    Financial and HR administration.
•    Supporting workshops and forums.
•    Using University systems to maintain databases, extract data and produce reports.

Your relationship building skills will be important, ensuring that you work effectively as part of the team and contribute to a supportive culture.

Successful candidates will also:
•    Have proven experience in an administration role where high levels of customer service delivery and confidentiality are expected.
•    Show proficiency in the Microsoft Office suite of programmes.
•    Be someone who pays close attention to detail. 
•    Have excellent organisational and time management skills.
•    Have good oral and written communication skills.
•    Show initiative and be prepared to learn new skills.

About our team/Mō te tīma

The Division of Health Sciences Administration is the central administrative hub for the Division, and Client Services plays a vital role in supporting the staff working in the Pro-Vice-Chancellor’s Office, Academic Administration, Finance, ICT, Marketing, Communications, Research, International, Māori and Pacific.

The role is also part of Client Services a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all the University’s internal and external customers at different workplaces or locations across campus.

This is a permanent, full time (37.5 hours) position, located in Dunedin.
