This post is vacant in the faculty’s Office of Student Affairs, where this staff member will perform tasks in support of the Exams team. The Exams team is responsible for:
1. Organising exams.
2. Processing and administrating of exam results.
3. Archiving exam related documents.
4. Conducting graduation procedures.
5. The key-user role of VOLG (SAP), including the administration of the academic structure in SAP.
6. Execution of different procedures related to the domain of exams.

Job description

The colleague we are looking for will perform the following tasks, after an initial training period, according to a schedule formulated by the team leader, whereby peak periods serve as a guiding principle:

  • Preparing graduation dossiers, to facilitate informed decisions on exams, and doing the interrelated communication to students.
  • Ordering diplomas and related documents and entering them into the system.
  • Coordinating the organisation of diploma ceremonies with the Marketing and Communications department.
  • Maintaining contact with proctors at exams administered by the faculty (in the context of the “special arrangement”).
  • Organising the Colloquium Doctum Exam, including the related paperwork.
  • Processing exam results.
  • Monitoring the inspection procedure of all exams administered by the faculty.
  • Looking after the key-usership VOLG (SAP) and the system’s Academic Structure.
  • Providing support in the planning and organisation of exams and filling in for the exam coordinator in case of his/her absence.
  • (occasionally) helping out at other departments in the Office of Student Affairs.

Requirements

This new officer

  • Is fluentin English and Dutch, in written and oral communication (an English test is part of the selection procedure).
  • Has completed a relevant MBO+/HBO degree in the field of administrative work and evidence of experience in a similar job/intellectual level.
  • Is able to work with Microsoft Office applications.
  • May have experience in working with SAP SLM and this is a plus.
  • Is a team player who can also perform tasks autonomously.
  • Has no dislike of bulk activities.
  • Has a flexible and proactive job attitude.
  • Is accurate, efficient, service-oriented and immune to stress.
  • Has a drive to deliver high quality work.

We offer a 0.80 – 1.0 fte appointment as Student Affairs Officer for one year. In case of good performance and equal prospects for the faculty, extension of the employment on a permanent basis is a possibility.

Within the framework of the university job structure (UFO), the position of Student Affairs Officer is in the category “Medewerker Studentenzaken”, level 3 or 2.

Remuneration will be according to standard salary levels, depending on education and relevant work experience (or starting scale), in salary scale 7 or 8 (€ 2.471,- and 3.674,- gross per month), based on a fulltime appointment) according to the collective labour agreement (CAO) of Dutch Universities, including 8% holiday pay and an 8,3% end of year payment.

Other secondary conditions include e.g. a pension scheme and partially paid parental leave, up to 40 days off per year for full-time employment, bicycle plan and other attractive and contemporary conditions. In the teaching and research at the Faculty of Arts and Social Sciences (FASoS), we highlight major developments in societies and cultures as they have unfolded during the modern and contemporary eras. We seek to gain understanding of the interrelationships of Europeanisation, globalisation, scientific and technological development, political change, and cultural innovation.
