Description

Publications Coordination Officer in the Print and Merchandising Production Office, Production and Management Support Division, Communication Department, Director General’s Services.


Duties

Under the direct authority of the Head of the Print and Merchandising Production Office, you will manage and coordinate the overall strategy of printed media production for ESA Communication activities by managing the procurement of appropriate service provision. In addition, you are responsible for the management and coordination of the distribution, stock management, and monitoring activities of the Office deliverables in the form of merchandising or print media items.


You shall, in particular:

  • act as a central point of contact within the Communication Department for all ESA printed media production requests for communication activities and, as such, liaise adequately with the different ESA directorates (programme directorates, in particular) to understand and identify their potential needs (e.g. launch campaigns);
  • act as technical officer by selecting and managing in-house and external services contracts for printed media production related to layout, proofreading and printing process;
  • coordinate relevant editing and graphical services provision contracts to develop and maintain an internal (offline and online) publishing/distribution workflow schedule ensuring quality and timely product delivery in full compliance with ESA Branding;
  • liaise with the Department’s Digital Media Production Office to ensure appropriate deployment of digital promotion campaigns of printed media;
  • propose and implement via selected services contracts an innovative monitoring and stock inventory plan (including management of the Office warehouse) with evaluation criteria – and key performance indicators, in order to ensure precise tracking of results and determine the impact of Office activities;
  • ensure via appropriate contracts the distribution and availability of both ESA printed media and merchandising items across all existing ESA establishments as well as to any partner entities that might be interested in such;
  • coordinate the promotion of the free use of the ESA Brand (ESA logo in particular) for merchandising products and apparel on channels other than the official ESA Space Shop and evaluate, validate and authorise such related supplier requests;
  • liaise with the ESA Legal Services Department in the event of non-compliance of unauthorised sales of ESA merchandise by external parties.

Education

Applicants should have a master’s degree in marketing or communication-related disciplines.


Additional requirements

Proven communication and writing skills, strong relationship-management abilities, a demonstrated aptitude for planning and organisation and problem-solving, a result-oriented mindset, with demonstrated competence in some of the following disciplines: publication workflow, logistics management, marketing campaigns, social media campaigns, product strategy, category management.

Good knowledge of ESA, its programmes and the Communication Department’s mandate and role is required.

The working languages of the Agency are English and French. A good knowledge of one of these is required. Knowledge of another Member State language would be an asset.

Recruitment will normally be at the first grade in the band (A2); however, if the candidate selected has little or no experience, the position may be filled at A1 level.
