Within the Research Support Office at the School of Business and Economics we are looking for a Project Officer (1.0 FTE). Are you an enthusiastic, service-oriented and well-organised generalist? Do you have experience with project support and administration?
Job description

The School of Business and Economics (SBE) is searching for a project officer who will provide support on the general management and coordination, administrative reporting and general logistics of the PhD programme of SBE and who will provide support for SBE-SDDG Spearheads and EU-funded projects. The project officer will join the Research Support Office team (RSO) and will collaborate with the PhD director of the Graduate School, the scientific staff of SBE and the RSO. 

In close cooperation with the PhD director and the policy advisor you will (e.g.):

  • Be the first point of contact for PhD students and their supervisors at the School of Business and Economics;
  • Implement and coordinate the current version of the revised PhD programme and continuously work on improvements of it;
  • Further develop the PhD programme together with the PhD director;
  • Organize PhD- and/or Supervisor days with external speakers and trainers;
  • Represent the School of Business and Economics at Maastricht University central meetings, and coordinate with the University Library and the Student Service Centre on e.g. centrally organised courses;
  • Coordinate with the central PhD office of Maastricht University as well as PhD coordinators of the other faculties;
  • Take part in UM wide committees and steering groups regarding PhD matters;
  • Coordinate and negotiate with externals about courses and trainings for the PhD programme;
  • Communicate in all forms with PhDs and supervisors on the PhD programme (e.g. Website, e-mails etc.);
  • Register and administer PhDs and e.g. the courses they follow and all type of relevant documents;
  • You are expected to also work on stakeholder management and communication, jointly with the PhD director (e.g. do presentations, in order to get commitment). You will work at different levels within our organization. Also, jointly with the PhD Director, you are a discussion partner for, for example, the GSBE management team, the Bestuurlijk Overleg, the PhD committee, the departments and the faculty board.

SBE-SDDG Spearheads and EU-funded projects

 In close cooperation with the project leaders of the projects you will be assigned to, you will (e.g): 

  •  Provide management assistance and administrative support with the general management and reporting of finance of the project, in consultation with the project leaders, the financial administration at the School of Business and Economics and the grant providers (internal of external);
  • Provide logistic support with organization of meetings, conferences, seminars and workshops;
  • Provide support for internal and external communication of the projects (newsletters, websites, social media);
  • Be contact person for partners and funders.

Requirements
  • Higher vocational (HBO) or University degree; A Phd is an asset;
  • Relevant experience in project management (international context is an asset);
  • Team player, good collaboration skills and organizational sensitivity;
  • Pro-active, result oriented, efficient, strong planning skills and a structured approach;
  • Ability to maintain an overview of various responsibilities;
  • Integrity, a diplomatic attitude and a high level of personal effectiveness;
  • Team player, good collaboration skills and organizational sensitivity;
  • Excellent oral and written communication in Dutch and English;
  • Affinity with academic research is an asset.

Conditions of employment

Fixed-term contract: We offer a 1.0 FTE appointment for the period of one year, with the possibility of a permanent contract afterwards based on a mutual match and good performance.

It is a position in accordance with the UFO-Profile ‘Project Leader, level 2 or level 1. Classification takes place depending on relevant education, training and experience.

Remuneration will be according to scale 9 (Project Leader, level 2, gross monthly salary between € 3098,- and € 4257,-) or 10 (Project Leader, level 1, gross monthly salary between € 2960,- and € 4670,-) of the Collective Labour Agreement for Dutch Universities.

Each year the standard salary is supplemented with a holiday allowance of 8% and an end-of-year bonus of 8.3%.

Other secondary conditions include a pension scheme, extensive leave entitlements, commuting allowance, parental and partner leave, UM selection model and more.
