We are looking for an energetic and representative professional who enjoys being the point of contact and pivot of our organisation who is able to manage our secretariat and coordinate projects in a dynamic and ‘European’ work environment.
Job description

We are looking for an enthusiastic, facilitating and self-reliant management assistant and project lead who is able to (a) ensure the smooth running our dynamic department and its administrative organisation, procedures and day-to-day operations, (b) act as a pro-active and organised management assistant to the managing director and scientific head of Studio Europa Maastricht (SEM) in the execution and development of the Maastricht, Working on Europe (MWoE) programme, and (c) set up and coordinate short to medium-term projects and events for a multi-stakeholder network.

Requirements
  • You are a hardworking and proactive management assistant, taking care of agenda planning and the organisation of meetings. You keep an eye on deadlines, take care of delegated email correspondence and tasks and prioritise and prepare work when possible;
  • You are able to independently set-up and coordinate short to medium term projects/events within the SEM agenda, completing projects from start to finish and successfully working in harmony with our communications team and programme editors;
  • You demonstrate adequate management of internal organisational processes including HR, policy support, drawing up professional minutes, coordination of junior staff such as student assistants, take care of general (e)mail and keep procedures and department documents up to date;
  • You are able to take on responsibility for the budgetary cycle and financial administration, acting as a decentral controller of SEM;
  • You are a strong communicator. You will be in contact with a variety of internal and external partners and stakeholders, visitors to the SEM office  and act as representative of SEM in various operational (external) meetings;
  • You flourish within an ambitious team and enjoy taking on the role of connector, striving to maintain high levels of organisational effectiveness and open communication, while ensuring a personal touch and a happy work environment for all;
  • You are fluent in English and Dutch both in oral and written communication;
  • You hold a bachelor degree (vocational bachelor or university degree) and/or have an equivalent proven professional work level;
  • Proficient in using Microsoft Word, Outlook, Excel, PowerPoint, SAP, Teams/Zoom and are willing to become part of the BHV (emergency response) team;
  • You have affinity with creating societal impact, politics and/or European affairs.

Conditions of employment
  • 0.8 to 1.0 fte;
  • We initially offer the position for one year, but subject to evaluation and funding, the position is eligible for extension;
  • Salary is competitive, depending on qualifications and work experience. The starting salary will be set on scale 9 of the collective labor agreement of the Dutch Universities. On top of this, there is an 8% holiday and an 8.3% year-end allowance.
