Management/Office Assistant for the Center of Learning & Teaching

The Management Assistant offers various types of administrative support for the CLT’s operation at different levels: communication, visibility, everyday-operations, and one-to-one support for newly appointed staff. The job is ideal for people who enjoy engaging with a diverse set of tasks and activities and working in international, dynamic, and multicultural settings.

The Center for Learning and Teaching (CLT) at the Faculty of Science and Engineering aims to enhance the quality of education across the science disciplines: Science, Technology, Engineering and Mathematics through theory-informed and evidence-based approaches. Staff of the CLT include researchers in Science Education and Communication, curricular developers, instructors, and trainers.

Your duties include:

• general administrative tasks, such as communication, purchasing of equipment, taking care of correspondence, post and mail handling, planning meetings, minute-taking, booking rooms, and ordering catering
• update of the Centre’s website on a regular basis and development of monthly newsletters
• support with project administration (i.e., handling claims and receipts, preparation of general reports and newsletters)
• support researchers with organizational aspects of research data collection (i.e., spending time at research settings, as for example, museums, libraries or school classrooms to set up cameras and talking with potential participants)
• new PhD students’ registration in collaboration with office assistants at the Graduate School
• supporting newly appointed staff members by providing information about FSE, ordering of equipment, setting up working stations etc
• organization of professional development events for instructors and students at the university level (i.e., booking rooms, communicating information etc)
• organization of events and activities related to EU-funded projects (i.e., offering traveling advice, booking hotel rooms, preparing meeting agendas, designing of leaflets etc)
• organization of team-building events and social outings
• translations of documents from English to Dutch.


• excellent command of both Dutch and English verbally and in writing
• experience in independent secretarial functions, preferably with work experience in an academic environment
• independent, enterprising, solution-oriented, flexible, stress-resistant, accurate, systematic
• excellent interpersonal and communication skills and focused on collaboration
• excellent intercultural competences skills.


In accordance with the collective labor agreement for Dutch Universities, we offer:

• a salary depending on education and experience of at least € 2,402 to a maximum of € 3,026 (salary scale 6) gross per month for full working hours
• 8% holiday allowance and 8.3% year-end bonus on the annual gross income
• an appointment of 0.8-1.0 FTE for a period of 12 months which could become permanent after a positive evaluation.
