Job description

University College Maastricht (UCM) is looking for a successor to the current Executive Assistant. UCM is the Liberal Arts and Sciences Honours College of Maastricht University that provides small-scale and personalised bachelor's education. At UCM, you will be part of a truly international yet close-knit academic community, working with students and staff from more than 50 countries; which makes for a vibrant and dynamic work place! The Executive Assistant provides secretarial and HR support to the Dean and Managing Director. In addition, the Executive Assistant is the contact person to the Front Desk employees. As an Executive Assistant you will apply your professional skills in a wide range of tasks including:

Core duties secretarial support:

  • Maintaining calendar and inbox;
  • Planning and scheduling meetings, events, and travel;
  • Secretary to the Management Team meetings and staff meetings (incl. scheduling, minute taking, follow up etc.);
  • Maximizing the executive’s time by looking ahead and routing correspondence; collecting and analyzing information; initiating phone calls/emails on their behalf;
  • Email management;

Core duties HR support:

  • Coordination vacancies (application and selection procedures incl. scheduling etc.);
  • Preparation, introduction and guide new employees;
  • Maintenance, monitoring and communication (annual appraisal meetings, absence, holiday, illness, etc.);
  • Registration and filing of HRM forms (extension, dismissal, promotion etc.);
  • First point of call for internal UCM staff with regards to HR questions;

Core duties contact person Front Desk:

  • Oversee, guide and steer Front Desk
  • Answer questions, give advice on and steer running affairs
  • Help and steer in setting up or updating (new) procedures

Requirements

You are good at juggling tasks and prioritizing and have a high standard of time management, organizational skills and preferably have direct hands-on experience in a similar role. You are a polished professional who doesn’t hesitate to take initiative and think along and enjoys supporting and working together with a creative team of driven professionals. Next to this you have sufficient knowledge of online tools and software such as Outlook, Word and Excel. UCM is an English taught program with international staff, an advanced English level is thus essential. In addition, for this particular position an advanced level of Dutch is needed as well.


Conditions of employment

Fixed-term contract: 1 year.

  • We offer an employment contract for a period of 1 year. After this period, the contract will be extended for an indefinite period of time (upon positive evaluation);
  • The salary will be set in salary scale 7 of the Collective Labour Agreement for Dutch Universities (between € 2.471 and € 3.336 gross per month). On top of this, there is an 8% holiday allowance and an 8.3% year-end allowance;
  • We offer an attractive package of fringe benefits such as substantial (parental) leave arrangements, optional model for designing a personalised benefits package and commuting allowance;
  • The position is offered for 0.7 – 0.9 fte.
