Aurora, an international network of 11 socially engaged universities that have been awarded a European Union grant as part of the European Universities Initiative, is looking for an Office Assistant.

Job description

The Aurora Office Assistant is a key administrative officer of the Aurora Central Office in Amsterdam, supporting the Aurora network in administrative, secretarial and organisational matters. The Office Assistant will support and work closely with the Office Manager, and will be responsible to the Secretary-General.

Your duties

  • support the Office Manager in performing her duties. This will include, but is not limited to, the following activities below
  • support the Secretary-General and the Programme Director in the planning, execution and follow-up of meetings of the Board, the General Council, Vice-Rectors for Education, and Institutional Coordinators
  • support the Project Manager for Research and Innovation in the planning, execution and followup of meetings of the Institutional Coordinators, the Vice-Rectors for Research, and General Assembly
  • provide administrative and operational support to the work of the research and educational thematic groups in Aurora
  • support the SecretaryGeneral, Programme Director and Project Manager for Research and Innovation in communication within the network
  • support the Project Manager for Research and Innovation in evaluation and monitoring activities

Requirements

We are looking for a colleague who

  • has a Bachelor’s degree or a higher qualification
  • has at least three years of relevant work experience in an international setting, across different languages and cultures
  • has experience in and / or knowledge of the higher education sector and/or European cooperation
  • is proficient in English at the level of at least B2 in the Common European Framework of languages. Working level in Dutch is desirable
  • has excellent MS office skills (including Excel) and is able to work with quantitative overviews
  • has excellent organisational and time management skills, also under stress
  • demonstrates flexibility and ability to improvise
  • has good interpersonal communication skills
  • can work independently and is clientoriented
  • is dynamic and energetic and has a positive mindset

What are we offering?

A challenging position in a socially involved organisation. On full-time basis the remuneration amounts to a minimum gross monthly salary of € 2,367 and a maximum of €3,196 (scale 7), depending on your education and experience. The job profile is based on the university job ranking system (Office Assistant 2) with a minimum of 0.8 FTE.

This position will be funded by externally funded projects. This means that the appointment will initially be for one year, after which there is the possibility of an extension of another year at the minimum. Applicants currently employed by VU will be seconded to Aurora from their present position.

Student & Educational Affairs
The Student & Education Affairs department provides services to Vrije Universiteit Amsterdam students and staff. We are responsible for registration and de-registration of Dutch and international students, and we arrange accommodation for international students and researchers. We work on developing a distinctive educational policy. We support and evaluate teaching practice and logistics, from initial enrolment to graduation. We are also responsible for VU students who need specific forms of guidance. Our ambition is to provide excellent, transparent and efficient service to students and staff.

You will be involved in many of the university’s central processes and you will work closely with the faculties and their staff.
