The Undergraduate Studies Program at Central European University (CEU) invites applications for a Program Coordinator position in Vienna.

 

The Undergraduate Studies programs are led by world-class faculty specializing in the social sciences and humanities. The programs are tailored for students who seek an international BA experience in small classroom settings, who appreciate having the choice to tailor their programs to meet their own interests, and who relish a challenging academic experience.

 

Your duties and responsibilities:

 

  • Administration of teaching programs, including creating program schedules, maintaining student handbooks, compiling reports and evaluations, maintaining and updating data and databases, administering records
  • Coordinate undergraduate program administrative and operational activities with other CEU units (e.g., student support units, academic departments, etc.)
  • Coordinate the admissions process for students
  • Provide high level administrative support to faculty, students, and guests
  • Contract preparation for visiting faculty members, guest lecturers and teaching assistants
  • Compose and post social media content with appealing visuals
  • Update and manage the departmental websites
  • Coordinate the unit’s financial activities, managing payments via SAP and financial forms
  • Organize academic events, including budget planning, travel arrangement, accommodation, catering, payments, reimbursement
  • Organize social events, alumni events, field trips, and cultural activities by negotiating with suppliers and vendors, collecting price offers, handling finances, advances, invoices
  • Prepare meeting minutes, policy documents, etc.
  • Support internal and external reporting connected to the undergraduate programs
  • Handle day-to-day operations and technical problems

 

Your skills and qualifications:

 

  • Bachelor’s degree
  • At least 3 years of working experience in a position with similar tasks, ideally in higher education. 
  • Ability to balance sensitivity towards student needs with ensuring student adherence to university and program regulations
  • Excellent verbal and written communication skills in English
  • Discretion when dealing with sensitive/confidential information
  • Proficiency in using Office 365 and MS products
  • Ability to work independently
  • Multicultural orientation and open-mindedness
  • Good organizational and interpersonal skills
  • Interest in creative problem-solving

We offer a competitive salary starting from a gross of 40,000 EUR/year. A higher salary is possible if warranted by the candidate’s working experience.
