Central European University (CEU) invites applications for a Department Coordinator at the Open Learning Initiative (OLIve) from September 2021 at the Vienna Campus. This is a fixed-term 12-month contract based on project funding. If the program receives funding for a further period, the position is renewable.

OLIve at the Vienna campus runs a university preparatory program for refugees. We are committed to addressing inequality in access to higher education. OLIve is currently funded by the Open Society University Network, and is part of a consortium of universities running similar programs in Berlin and London.

Our ideal candidate has had experience working in a similar administrative position in a university setting, shares a commitment to supporting marginalized groups access university, and – because the Coordinator will often be the first point of contact for our students - be an excellent communicator.


Duties and responsibilities:

  • Responsibility for the day to day administration of the OLIve office
  • Administrative responsibility for the unit’s budget
  • Coordinating student recruitment and related processes with relevant CEU offices
  • Coordinating admissions and related processes for students with relevant CEU offices
  • Coordinating scholarships and payments to students with relevant CEU offices
  • Coordinating the contracting of OLIve teaching staff with relevant CEU offices
  • Coordinating student welfare issues with relevant CEU offices
  • Undertaking all administrative work to do with teaching, including room bookings, uploading syllabi etc
  • Administrative tasks associated with event organization
  • Communicating and coordinating with students
  • Assisting students on course enrollment and program rules
  • Liaison with OLIve partner institutions on joint affairs
  • Providing student and financial data for project reports

Skills and competencies:
  • Bachelor’s degree
  • Previous experience working as an administrator in a university setting;
  • Excellent written and oral communication skills in English
  • Previous experience with SAP
  • Ability to work independently
  • Proficiency in using Office 365
  • Basic financial skills (for budgeting and reporting, and overseeing the unit’s budget)
  • Good organizational and interpersonal skills
  • Ability to handle multiple tasks and to prioritize

Compensation

We offer a competitive starting salary of 35 000 EUR/year, that is commensurate with experience as well as a dynamic and international academic environment.
