Personal Assistant (m/f/d) - Department Molecular Machines and Signaling


Context and job description

You will work as the Personal Assistant for the Director of the Department Molecular Machines and Signaling (Prof. Dr. Brenda Schulman) also supporting an international team of scientists in all administrative and non-scientific organizational matters. In a highly multicultural environment, you will ensure smooth and consitant handling of day-to-day operations. Your key mission will be:

  • Organize the Director’s as well as the groups‘ travel arrangements
  • Organize meetings, internal and external workshops and contribute to their follow-up (agenda, report, preparation of documentation, logistics, minutes, follow-up actions)
  • Act as the point of contact, interfacing with MPIB administration with regard to organizational and personnel matters (e.g. travel, on-boarding of new employees), routinely performing independent work in both English and German. Manage incoming and outgoing correspondence and phone calls. Ensure the reception of visitors.
  • Participate in the elaboration of documents (information research, formatting, validation follow-up before distribution, reports)
  • Apply and continually improve procedures to facilitate effective, efficient and professional office management

  • Excellent level of English, both written and spoken
  • Excellent organizational skills
  • Initiative, autonomy, responsiveness, energy, priority, management, discretion
  • Good interpersonal skills, ability to establish and maintain positive working relationships, demonstrated teamwork abilities
  • Proactive approach to problem-solving and openess to change
  • Perfectly at ease with office tools and software (Word, Excel, Powerpoint) with demonstrated ability to learn new tools rapidly

Working conditions
  • Two year contract (part-time, 50 %) with the possibility for an extension
  • The successful applicant (m/f/d) will receive a salary in accordance with the TVöD (German public service tariff scale) and will benefit from opportunities for additional training. The salary will be calculated on the basis of relevant qualifications and professional experience.
