The PIK is looking for an

Assistant to the Head of Institute (m/f/d)

(Position number: 59-2021-Sekretariat)

as part of a temporary cover in the Executive Area / Directorate starting on 01.12.2021.

This is a temporary position for the duration of 14 months with the option of an extension. Remuneration is in accordance with the German public tariff scheme (TV-L Brandenburg), salary group E 8. The position is part-time with a working time of 24 hours per week.

Key responsibilities:

  • oral and written correspondence in German, English and a third language,
  • taking minutes, preparing, editing and translating presentations and,
  • preparing and postprocessing of meetings and events, looking after institute guests, creating invites and minutes
  • coordinating appointments, planning and organising business travel, preparing and submitting travel expense claims
  • organising office processes (signatures, reminders, etc.)
  • administering and updating publication lists and book catalogues

Requirements:

  • several years experience of working in a similar position
  • successfully completed vocational training as an office administrator for office communication, a foreign languages assistant or in a comparable position
  • excellent level of English, very good level of German and another language such as Swedish, Chinese or Russian
  • comprehensive knowledge of MS Office
