Specialist, Business Support - Fixed Term Contract for Five Months

Reports to: Assistant Director Business Support

Purpose: The job holder will assist in the activities related to the relocated faculty, staff and international students in terms of work permits and passports, residence, entry and exit visas. He/she will prepare and help the assistant director in all the formalities related to relocated non- Egyptian faculty, administrators, international students and staff work permits, passports, and residence visas. He/she will assist in the activities of the Business Support office in performing as a liaison between the University and the Ministry of Higher Education, Ministry of Manpower in matters related to the securing of the work permits and residency approvals.

Responsibilities:

· Assist in downloading all non-Egyptian students’ applications from the updated system of international students, translate, edit and resubmit them as applications to the Ministry of Higher Education to secure the relevant governmental authorities’ approvals. To follow up the receiving of the authorities’ response to the application and to report the rejected cases.

· Assist in communicating with international students with regards to their residency visa applications, accompany them if needed, attend orientations, help to arrange for transportation, their immigration office appointments and follow up on their requested payments of the governmental visa fees.

· Assist and organize all the activities related to relocated faculty, administrators, staff and student's passports operations including obtaining and renewal of residence, passports registration, and entry and exit visas.

· Document the work permit data forms for all relocated faculty, staff and administrators, translate and edit them to send them as applications for security approval from the Ministry of Higher Education.

· Prepare all letters for new relocated faculty, staff and administrators requested for the Ministry of Manpower and Directorate of Manpower for all requested recruitment procedures approvals.

· Monitoring the updating of the validity of the issued work permits, residence visas and prepare applications for yearly security approvals renewals.

· Assist in preparing the HIV test appointments for relocated faculty, staff and administrators, sending reminders with scheduled appointments at the clinic, arrange for residency visa appointments and transportation booking to the immigration office.

· Follow up on any delayed cases, complaints and report to the assistant director.

· Assist in preparing the annual budget forecast for HIV, work permit fees and residencies visa renewal fees for relocated faculty, staff and administrators., follow up and review the payments done.

· Receive passports and job orders from the unit head, classify them as per instruction and to precede them with all formalities of registration for work permits, entry, re-entry, exit visas. To organize a priority system for processing.

· Maintain comprehensive library of current laws and regulations related to his field. To assist in managing and supervising the unit activities. Guide and advice the university community about the laws and procedures related to them.

· Alert the assistant director of possible delays and recommends remedial actions.

· Maintain proper documentation including daily/monthly reports. Generate report and other information of a confidential nature using various types of computer software. To prepare and assist in issuing the required legal periodical statistics to the authorities.

· Assist in delivering back the expired work permits of the reallocated personnel within the period assigned by the laborer's law.

· Keeping an accurate and updated filing of the financial records of the activities for the business support office.

· Perform other related duties as requested by the direct supervisor.

Requirements:

Minimum Education Requirements:

· University degree.

Experience:

· Minimum of 5 years of previous experience.

Skills:

· Fluency in English and Arabic

· Computer literacy

· Public relations and communication skills

· Analytical and problem-solving skills
