Specialist, Administration, Dean of Business

Reports to: Assistant Dean

Purpose: The job holder is responsible for the assistance in the development of strategic initiatives and the implementation of school-wide strategic initiatives, projects and activities at the School of Business.

Responsibilities:

  • Assist in data collection for the business School Impact System (BSIS), the impact assessment tool by European Foundation for Management Development (EFMD) Global-BSIS provides a tailor-made information and data collection system for monitoring the School of Business’ impact.
  • Assist in assembling and organizing data from different stakeholders to support the strategic planning process at the School of Business
  • Visiting Professorships: The Willard W. Brown International Leadership seminar series and the Charles J. Hedlund Fund for Business and Computer Science:
  • Assist in scheduling the events for each series, and following up with the presenters to finalize the schedule
  • Handle operations related to events management including but not limited to hall reservation, poster design and preparation, catering, and set-up
  • Handle travel arrangements for the visiting professors with regards to flights, accommodation and transportation
  • Collaborate with the school’s communication and marketing to execute necessary publicity for the activities and events
  • Draft invitations to faculty and send reminders to both faculty and students when needed
  • Handle all logistics related to visits, events and related activities
  • Coordinating activities of the dean’s strategic advisory board:
  • Coordinate SAB meetings, ad hoc task forces meetings, events and initiatives
  • Organize the two major SAB events: mid-year and annual meetings
  • Handle visit programs, travel and accommodation logistics for international members.
  • Research
  • Conduct internet-based and library research
  • Produce research and briefing material in diverse areas
  • Prepare write-ups for different purposes
  • Provide assistance with the preparation of project-related reports, manuscripts, and presentations
  • Organize events and activities of the dean’s office
  • Gather and compile information for reports and presentations for the dean
  • Writing reports, recording and transcribing minutes of meetings
  • Follow-up on assignments, responsibilities and deadlines set by the dean and University
  • Perform any other related duties as assigned

Requirements:

Minimum Education Requirements:

  • Bachelor’s degree in business, mass communication or social science
  • Master’s degree is an asset

Experience:

  • 3 - 5 years of experience

Skills:

  • Strong command of the English language
  • Strong oral and written communication skills are of the highest priority
  • Excellent interpersonal skills, particularly the ability to work with groups and organizations, both internal and external to the University. It is particularly important to possess an ability to work with diverse constituencies
  • Positive attitude, strong work ethic, commitment to the highest standards of customer service and professionalism and ability to work independently and as a member of a dynamic cross-functional team
  • Able to handle a heavy work load
  • Ability to multitask with minimal supervision
  • Strong computer skills in Microsoft Excel and Word
