Reports to: Manager, Participants Affairs

Purpose: This position is responsible for coordinating and administering participants’ admission, support to enrolled and prospective participants, such as course registration, graduation processing, withdrawals, participants’ records documentation, user accounts creation, information sessions, and participants’ orientations to our systems. Counsels with providing technical guidance, and problem resolution.

Responsibilities

Participants Records

  • Updating participants’ records on Banner, in terms of new admissions, cancellations and withdrawal requests
  • Handles all verification requests with follow up with external entities documents around 700/year

Communication Focal Point

  • Manage all participants’ records, grading, and certificates related inquiries
  • Manage all instructors grading inquiries
  • Provides coordination of admission activities for participants’ regarding the system admission cycle
  • Initiates, develops, and sustains strong positive relations with program coordinators and departmental leadership to ensure achievement of the mission and goals of the participants’ affairs unit and Executive Education
  • Collect all Frequently asked questions (FAQs) in an efficient professional manner to assist in the building a comprehensive FAQs database

Grading

  • Manage business acumen grades posting around 2,000 records/year
  • Manage hospital visits grades posting around 250 records/year
  • Manage the incomplete/empty grades issues
  • Maintains participants’ records on database, creates and provides reports. Provides contact point for enrolled and prospective participants’ information

Certification

  • Assists with certification review
  • Managing logistical activities, scheduling and related matters related to certificates and transcripts delivery to participants’ around 2,500 certificates and 1,000 transcripts/year and requests for verification
  • Coordinates all logistical aspects of re-issuance of certificates and transcripts
  • Assist in the transition from paper to electronic records management systems, while ensuring confidentiality and security of the participants’ records

Institutional Development

  • Help in maintaining the school’s accreditation as well as Executive Education accreditation and comply with their standards
  • Adhere to Executive Education quality standards
  • Participate and contribute to the Executive Education wide activities and projects
  • Study and apply Executive Education policies and procedures, highlight conflicts and loopholes, think and document areas for continual improvement
  • Participate in assignments related to general AUC wide projects

Reporting

  • Produce issue log daily report and highlight critical issues
  • Produce monthly and annual reports and statistical data on all activities, participants’ issues and concerns
  • Assist in the development of FAQs database
  • Produce other reports as requested by management

Requirements:

Minimum Education Requirement

  • University degree is required

Experience

  • 5-7 years of professional experience
  • Past experience with student interaction in a well-established university

Skills

  • Language skills: excellent writing, reading and conversational English
  • Fluent Arabic both oral and written
  • IT skills: use of Banner system, Microsoft Office applications
  • Soft skills: problem solving, organizational, planning and report writing skills
  • Ability to work following standardized practices and/or methods; and/or coordinating with others
  • Adapting to changing work priorities; maintaining confidentiality; meeting deadlines and schedules; setting priorities
  • Excellent customer service skills
