Senior Officer, Prospect Research and Portfolio Management, Department of Institutional Advancement and Alumni Relations

Reports to: Director, Prospect Research and Portfolio Management

Purpose: The job holder qualifies major gift prospective donors by researching and analyzing individuals and corporate entities for connections to The American University in Cairo (AUC) and to other organizations, giving potential, and inclination to donate in order to establish priorities and strategies for the successful solicitation of donors. He/she will participate and contribute to the formulation of the processes and procedures of prospects management. Furthermore, Identify, collect, organize, analyze and disseminate information on donors and prospects to the development and alumni relations team, faculty and administrators to enhance support for the University. Also, develop, maintain, and update information on new and existing prospective donors.

Responsibilities:

Systematically identify major gifts ($25K and up to $250K) prospective donors:

· Identifies 20-30 new prospects per year

· Provide concrete recommendations to development officers on prospect strategy

· Provide prospect briefings for newly identified prospects (60-70 per year); update previously identified prospects and donors

· Research and mine data using a wide variety of electronic services, online databases and published resources to increase the accuracy of employment and contact information on different constituents on the advancement database

Maintain prospect tracking information

· Assist in the investigation and preparation of donor/prospect lists

· Ensure activities and correspondence related to donors/prospects are recorded in the database

· Work closely with the research team and prospect management team and other appropriate personnel in designing a research program to provide information that facilitates the solicitation of corporations, foundations and individuals

· Coordinate with and assist the prospect management team in prospects assignments

Reporting and Analysis

· Create queries and produces exports in SF to pull data for a variety of purposes including mailings, donor recognition, and donor cultivation, solicitation and stewardship needs

· Monitor SF data through the use of queries, exports, and reports and flag errors to ensure data coding accuracy in the database is maintained and that established guidelines are followed

· Create a data audit library to verify the accuracy of data in the database and update accordingly

Trips, Visits and Events Preparation

· Prepare briefing materials to support discovery contacts/visits

· Assist in briefing preparations for presidential trips as requested

· Prepare summary profiles for presidential events invitees

Develop, maintain, and update information on new and existing major gift prospective donors:

· Create and maintain records for newly identified prospects

· Update constituent records with new or revised information confirmed through research in accordance with University advancement training and policies and procedures

· Create new records for donors/prospects and maintain relationship links among constituent records

· Identify data integrity issues and collaborate with other advancement services staff in managing a queue of database cleanup projects, Perform data cleaning tasks

· Provide a broad range of multi-level functions primarily dealing with the collection of information to compile in-depth research profiles on donors and prospects

· Preserve prospect knowledge obtained through research in salesforce

· Develop routine data update strategy incorporating different research options to increase the accuracy and ensure the data integration on different AC constituents on the database

Other Tasks:

· Train staff in new procedures and provide periodic refresher trainings and onboarding support

· Manage student workers and temporary help as needed

· Perform related duties and undertake special projects as assigned

Requirements:

Minimum Education Requirements:

· Bachelor’s degree is required

Experience:

  • Minimum of 10 years of experience with 5 years in educational environment
  • Fundraising, youth or community work experience

Skills:

  • An entrepreneurial and self-motivated individual
  • Strong interpersonal skills and ability to communicate with passion the mission of the AUC both verbally and in writing
  • Strategic thinker who has demonstrated resourcefulness in working collaboratively with many constituencies
  • Successful experience in making cold calls as well as developing cultivation and solicitation strategies
  • Understanding of basic finance concepts and money management
  • Ability to produce high-quality work on deadline while maintaining good relations with colleagues. Comfortable managing multiple projects, priorities and deadlines
  • Excellent listening, diplomacy and negotiation skills
  • Demonstrated leadership skills, including a strong work ethic
  • Knowledge, understanding and acceptance of cultural differences and diversity. Ability to interact effectively with a wide variety of people
  • Demonstrated professional manner with all internal and external university constituencies
  • Proven ability to perform well in stressful situations
  • Commitment to the highest standards of customer service and professionalism
  • Knowledge of Microsoft Word, Excel and PowerPoint required. Experience on sophisticated fundraising database.
