Senior Officer, Academic Planning

Purpose: The academic planning senior officer is responsible for developing methodologies and working on various strategic initiatives related to student success and retention including forecasting, capacity planning, declaration process enhancement and study plan automation.

Principal Accountabilities:

  • Study the declaration and registration processes towards enhancing and developing each with the support and collaboration of the relevant offices and departments
  • Assess the declaration processes of each major in collaboration with the schools and departments with the support of the academic services improvement team
  • Develop and implement an optimized and unified declaration application process for all programs with the support of IT to automate the process workflow towards standardizing the entire process
  • Analyze and summarize available declaration, registration, and withdrawal data to facilitate increased student retention and completion rates
  • Research and identify best practices in academic advising to make effective recommendations to departments for advising students while utilizing Degree Works SEP
  • Collaborate with all academic departments and relevant offices in institutionalizing Degree Works SEP to ensure its full adoption
  • Manage Degree Works SEP functionality and reporting.
  • Develop and conduct Degree Works SEP training and awareness sessions for faculty and professional advisors
  • Plan and forecast demand on all courses through analysis of available information of programs and course offerings to recommend the registration rules criteria to be applied by supporting academic departments
  • Analyze capacities, identify bottlenecks, and recommend strategies to support departments in planning and managing course offerings to optimally serve the undergraduate programs and Core Curriculum
  • Study and analyze the programs offered by each department while accounting for the demand on each course and the required number of sections and capacities that are needed every semester
  • Study the operation of the academic departments and the existing allocation of resources
  • Study and analyze the distribution of faculty loads considering the types of courses and any areas of expertise needed for certain specializations of courses with specific nature
  • Account for relevant resources in the capacity analysis while studying the allocation in the departments such as tools, software licenses, equipment, labs, workshops, special setups
  • Work closely with the Registrar and Office of the Provost to understand the applicable policies and procedures
  • Work on developing an optimized model for capacity planning in collaboration with the academic departments
  • Prioritize highly demanded and populated programs in the study to cascade the model to departments with less demanded majors
  • Consolidate all available data towards having an aggregate model to utilize academic resources
  • Work closely with the academic planning officer on any relevant tasks
  • Perform other duties that support the overall objective of the position as assigned by the director

Requirements:

Minimum Education Requirement:  

  • Bachelor’s degree in business administration or engineering

Experience:

  • Minimum 10 years of relevant experience
  • Previous experience with an educational institute is required

  • Ability to design reports and other communication materials
  • Knowledge of Banner student information system package is an asset
  • Excellent command of written and spoken English. Fluent in Arabic
  • Highly skilled in Microsoft Office (Word, Excel, Access and PowerPoint)
  • Possess core traits of honesty, integrity, and ability to maintain confidentiality
  • Flexible and able to work as part of a team.
