Program Specialist, School of Continuing Education

Reports to: Assistant Director

Purpose: The general purpose of the job is to supervise and coordinate certificates, courses and programs in the department.

Responsibilities

  • Serves as the first point of contact for phone callers
  • Provides technical and administrative information to current and prospective learners
  • Answers questions or inquiries on programs in light of School of Continuing Education (SCE) established rates, regulations and standards.
  • Handles customized class schedules and coordinates with admissions, registration
  • Handles the registration of the participants on the system
  • Prepares payment request/forms and contracts and ensure documentation and approval are in compliance with AUC policies and procedures
  • Implements the logistic of the hiring procedures of new faculty
  • Communicates with finance on the remuneration of faculty
  • Assists in the organization of professional development activities for instructors
  • Orients and updates instructors on SCE policies and procedures
  • Assists in handling social media responses
  • Assists in marketing departmental offerings to current and potential learners
  • Receives complaints and takes full details from learners and communicates to the ADD the matter with full details
  • Maintains frequent communication with individuals, clients and partners and follows up with learners to ensure satisfaction
  • Implements set business growth strategies to increase enrollment in all the department programs
  • Distributes Learner Evaluation of Instruction results and reports to instructors
  • Maintains databases of programs, instructors, course Career Development Facilitator (CDF), to answer queries and generate reports
  • Compiles data on revenue and expenses as required
  • Participates in the logistics of department events and conferences
  • Performs any other additional tasks as assigned

Requirements:

Minimum Education Requirement

  • Bachelor’s degree in any field
  • Certificates in IT and networking, management, learning and development or project management is preferred

Experience

  • At least 3-5 years of experience in the area of education administration or organizing instructional events

Skills

  • Good communication and interpersonal skills
  • Good command of English and Arabic
  • Proficient in Microsoft applications
  • Good knowledge CISCO system
