Reports to: Senior Manager, Decision Support – School of Sciences and Engineering

Purpose: The job holder is responsible for providing detailed analysis of the actual performance results to the decision support function of the school and building strong understanding of the key variances vs budget. Plan in-order-to proactively implement ways to improve the operational performance and to provide early warning to deviations’ reasons as well as preparing all monthly managerial presentations and analysis for decision making.

Responsibilities:

  • Process payment requests (payable or receivable) on SAP and ensure documentation and approval is in-compliance with AUC policies and procedures.
  • Review and Process payments related to corporate credit card settlements, petty cash and advances.
  • Contribute in the preparation of the School’s Budget planning process and compiling the new initiatives each financial year to allocate the funds on the SAP Planning Module and the Planning Matrix to be submitted to the Budget Office.
  • Prepare the required financial transfers to cover shortage in line budgets after viewing them on SAP.
  • Prepare the School annual financial reports to communicate the school financial trend.
  • Prepare financial reports for the Gifts, Endowments and Projects.
  • Prepare a budget availability report on monthly basis with a detailed analysis, trends and commentary to be sent to the top management, for better planning and efficient utilization of budget.
  • Running administrative tasks on SAP including entering the leaves and overtime on time.
  • Responsible for ordering supplies from AUC stores.
  • Prepare quarterly forecast of revenues and expenses to identify the financial status and make the needed funds projections for each department to support new projects and business needs.
  • Evaluate previous budgets & expenditures, prepare variance analysis and identify trends for decision support and recommend actions for efficient utilization of budget.
  • Assist in the year-end closing process and prepare accruals.
  • Tracking documents and following up to ensure every transaction is placed on SAP successfully.
  • Creating purchase requisitions on SAP and requesting material numbers from the supply chain management and creating DPR (Direct Purchase Requisitions).
  • Preparing vendor request forms and ensuring that the supporting documents required for creating vendor numbers are complete.
  • Prepare research assistant and service agreement contracts for some departments and checking research assistant agreements of tall the SSE departments.
  • Coordinate with Budget office to ensure the balances’ rollover of the external funds.
  • Develop the tools used in the automation of the financial reports and financial templates.
  • Formulate the financial forecasts and plans according to actual performance, growth trends and marketing input.
  • Monitor and improve school’s finance policies and procedures, in accordance with AUC Finance policies and procedures.
  • Monitor equipment ordering process to ensure timely deliveries in respect of operational needs and to avoid the unfavorable financial and budget impact of shifting the equipment from year to another.
  • Manage the filing system, tracking and record keeping.
  • Carries out any other tasks assigned by the school’s decision support senior manager.

Requirements:

Minimum Education Requirements:

  • University degree is required in related field .

Experience:

  • 7-9 years of experience including 3 years in financial operations and accounting systems.

Skills:

  • Excellent communication and interpersonal skills in spoken and written English and Arabic are required.
  • Ability to write reports and business correspondence.
  • Effectively present information and respond to questions from groups to managers, professional associations and vendors.
  • Proficient in Microsoft Word, Microsoft Excel, and SAP.
  • Budgetary analysis capabilities is required.
